SUMMARY STATEMENT:
This position serves as secretary to the Multilingual Learners Department, which includes English Language and Bilingual Education Services. This secretary will perform duties that require independent judgment and knowledge of District and departmental procedures.
ESSENTIAL FUNCTIONS:
- Communicate professionally and effectively with staff and the general public in person, by telephone, via E-mail, and in writing to provide accurate information and ensure responsive services.
- Operate a computer, including email, Microsoft Suite applications, Google Apps (i.e. Docs, Sheets, Drive) and district-wide software.
- Answer and direct all incoming calls and inquiries to the appropriate personnel.
- Open and read all written communications, taking appropriate action when necessary before submitting to the director and program coordinators.
- Prepare and distribute department correspondence (i.e. memos, letters, reports, projects, data, etc.)
- Provide support for special projects, such as ML tutoring and summer school programs, by tracking attendance, budgets, and compliance requirements; prepare and organize materials (i.e. for ML tutors, students and interviews); and ensure timely and effective communication with staff, families and relevant departments.
- Establish and maintain budget and other departmental files in compliance with State and Federal grant requirements.
- Coordinate department projects with other instructional and non-instructional departments.
- Track, verify and monitor the District’s absence management system matching professional development (PD) and co-planning participants with the substitutes utilized for each event conducted by the Multilingual Learners Department.
- Maintain documentation and support the preparation of documents for federal and state audits, including budget reports, program evaluations, and student service records.
- Maintain knowledge of OSPI guidelines, Title III requirements, and federal/state education policies impacting multilingual programs.
- Coordinate all department budgets, including such tasks as:
- prepare/verify travel authorizations
- input department purchase orders
- receive and process purchase requisitions for department as necessary
- post/reconcile with accounting printouts and time sheets
- prepare monthly budget reports
- work with accounts payable, vendors, and staff in processing invoices/purchase orders for payment
- work with Fiscal Department, contract providers, and staff in accurately processing service contracts/invoices for payment

TOOLS AND EQUIPMENT NECESSARY:
Computer/Laptop, telephone, 10-key calculator, scanner, multifunction copy machines, FAX machine, and all other tools and equipment necessary to perform the essential functions as listed above.
MINIMUM QUALIFICATIONS:
(Testing may be required)
- Typing/keyboarding of 50-70 wpm.
- A minimum of two years of experience in a related field, or equivalent training.
- Bilingual skills preferred.
- Demonstrated ability to perform proficiently on the computer, using a Windows environment, PowerPoint, Excel, Google Workspace, as well as familiarity with the internet-based research and tools.
- Demonstrated ability to communicate effectively and possess a positive attitude.
- Must possess a good math aptitude.
- Demonstrated ability to perform tasks accurately and in accordance with established guidelines.
- Demonstrated ability to handle multiple priorities at one time.
