What are the responsibilities and job description for the Family Financial and Health Resource Specialist position at Evergreen Recovery Centers?
Primary Function: Lead subsidy tracking specialist and administrative specialist; Provide general office management for Evergreen Manor’s team program supervisors described below
PRIMARY RESPONSIBILITIES:
This position requires an intelligent, detail-oriented, individual who is highly skilled in Microsoft Office and online registry systems, and is able to maintain confidentiality with proprietary information and protected patient health care information. Specific duties include, but are not limited to:
Child Care Financial Assistance & Continuing Family Access to Resources
- Initial family enrollment in state subsidy “Working Connections” child care assistance program during admissions.
- Connection with outside child care providers and state subsidy services to support family’s financial assistance needs, such as: child care subsidy programs, and Medicare savings programs.
- Process applications for ChildStrive resources and track additional resources given to child based on IEP, Individual Care Plan, developmental assessments, etc.
- Initiate and aid in maintenance of other child care subsidies, grants, and extensions in accordance with current contracts
Accounts Payable (Billing) for Subsidy Programs
- Complete monthly accounts payable process for child care subsidy programs, including timely preparation and submission of approved child care subsidy invoices;
- Electronic attendance tracking of child’s attendance for subsidy funding maintenance
- Organization and tracking of social service notices
- CACFP food program document tracking (if needed)
Admissions – Health Document Intake
- Tracking of Washington WIC Medical Documentation Form (all child age groups) during child medical visits, Child-Care Medication Authorization Form, and Severe Allergy packet (as needed) in accordance with WAC 110-300
- Obtaining Certificate of Immunization Status (CIS) and child health screening forms at time of admissions in accordance with WAC 110-300
- Monthly child immunization tracking and annual immunization report to the Department of Health each year for ALL children entered into program in accordance with WAC 110-300, RCW 28A.210.110 and WAC 246-105-060
- Maintaining registry for admits personal items and financials during intake
Other
- May assist with ROI’s, intake packets, compiling resident group session packets and Census entry as delegated
- May assist with front desk and resident specialist clerical work as delegated
- Other duties assigned by Program Director
ESSENTIAL SKILLS AND FUNCTIONS:
- Smart, highly organized, detail-oriented and able to effectively problem-solve with minimal direction.
- Demonstrated ability to handle confidential business and personnel matters with discretion and diplomacy.
- Strong administrative skills and proficient in Microsoft Office and computer systems
- Analytical skills necessary to prepare tables and graphs in Excel, prepare income/expense tabulation.
- Demonstrated effective oral and written communication, as evidenced by professional, accurate correspondence and reports and professional demeanor and presentation.
MINIMUM QUALIFICATIONS:
- At least 3 years of responsible administrative support experience in an office setting, ideally with a health or education organization.
- Ability to maintain confidentiality with personnel and corporate matters as well as patient information.
- Demonstrated strong keyboard and computer skills; able to prepare properly formatted, error-free professional documents.
- Maintain a valid Washington State Driver’s License, acceptable driving record and be able to operate a company vehicle without restriction.
- TB test or screen is required at time of employment and annually thereafter.
- Adult & Pediatric CPR
- No history of misuse of alcohol or other drugs for a minimum of one year prior to employment with Evergreen Recovery Centers and no recreational use of marijuana.
- Offer of employment is conditional upon successful completion of Criminal Background Check from the Washington State Patrol and ability to pass a post-offer, pre-employment drug test and agreement to agency’s drug free workplace policies, including compliance with random and/or for-cause drug-testing.
