Position Summary: The Executive Assistant will provide high-level administrative support to the CEO, ensuring seamless coordination of schedules, meetings, communications, and essential business operations. This role requires a detail-oriented professional who thrives in a fast-paced environment and can anticipate the needs of the CEO to optimize productivity and efficiency. The ideal candidate is an expert multitasker with a strong sense of discretion, professionalism, and adaptability.
Key Responsibilities:
- Manage and coordinate the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Monitor and organize incoming emails, responding or delegating as necessary to ensure timely follow-ups.
- Prepare and distribute documents, reports, presentations, and correspondence on behalf of the CEO.
- Act as the primary liaison between the CEO and internal/external stakeholders, maintaining professional and effective communication.
- Oversee administrative tasks related to hotel operations, such as tracking key deadlines, managing contracts, and coordinating with department heads.
- Organize and maintain confidential files, records, and reports.
- Assist with special projects, research tasks, and strategic initiatives as assigned.
- Anticipate needs and proactively address challenges to keep daily operations running smoothly.
- Provide general administrative support, including office management tasks and event coordination.
Qualifications:
- 5 years of experience in an executive assistant or administrative support role, preferably in the hospitality or hotel management industry.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite and other productivity tools.
- High level of professionalism, discretion, and confidentiality.
- Ability to work independently, take initiative, and problem-solve in a dynamic environment.
- Familiarity with the hotel industry and understanding of operational workflows is a plus.
