Key Responsibilities:
- Manage Delphi. DC sales system as a property administrator for the resort.
- Provide sales system training to new team members.
- Maintain sales office reporting functions including month-end and owner reporting.
- Provide necessary data for accommodation and banquet forecasting.
- Maintain the guest room log and function diary.
- Schedule and facilitate site visits, greet visitors, answer phone calls, intake and process incoming lead information, research group billing inquiries, gather data as needed, compile reports, maintain files, and prepare correspondence with clients.
- Interact with group, catering, and leisure travel customers in person, via email, and over the phone to qualify and assist existing and future guests.
- Upload and maintain the group files within the sales system for all group bookings at the resort. (This includes ensuring signed agreements are uploaded when all bookings are turned to definite bookings).
- Coordinate and manage site visits for sales and other leadership as directed.
- Manage and communicate VIP arrivals to respective departments.
- Participate in Sales Department meetings.
- Provide additional administrative assistance as directed.
- Any other work as required to complete the primary purpose of the position.
Education, Skills, and Experience:
- Minimum of one years as a sales coordinator or administrative assistant
- FDC experience required
- Resort experience highly desired
- Outstanding verbal and written communication skills
- Strong organizational and time management skills
- Proficient in Microsoft Office
- Ability to multi-task in a fast-paced environment
Physical Requirements:
- able to safely lift, pull and push up to 25 pounds.
- Able to stand, walk, stoop, kneel, bend, and reach periodically.
- Visually look at a computer for extended periods
- Able to sit and use the computer for hours at a time.
- Subject to environmental conditions, work activities can occur inside and outside.
