Summary

Eversight's Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors and Committees, and Executive/Leadership Team while managing office operations & events. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Essential Job Functions

  • Provide sophisticated calendar management for CEO and other executive level leaders. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Complete a broad variety of administrative tasks that facilitate the CEO, and other executives, abilities to effectively lead the organization, including but not limited to: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings and correspondences; maintaining contact lists; coordinating outreach activities; arranging travel; and completing expense & mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature.
  • Coordinate all Executive Team meetings and coordinate or assist with other staff meetings & events as needed.
  • Participate as a permanent member of the engagement committee to support activity & event planning, managing event invitations, handling day of event coordination, and any other committee needs.
  • Collaborate with facilities department to manage or support various aspects of organization’s office services.
  • Manage new hire welcome gifts by ordering & monitoring inventory, preparing gifts, and shipping gifts to other office locations as needed.
  • Provide community event support as requested.
  • Provide hospitality to all guests and help to create a welcoming environment.
  • Assist with the front desk duties as needed.
  • Invest in building long-lasting relationships both externally and internally.
  • Other projects/duties as assigned for the overall benefit of the organization.

Qualifications

Education: Bachelor’s degree or equivalent experience.

Experience: Relevant administrative experience, including five years providing executive-level support. Proven experience organizing multiple teams and departments.

Skills: Strong ability to execute work with a diversity, equity and inclusion lens. Significant executive support experience, including supporting C-level executives. Nonprofit experience is highly preferred. Expert proficiency with Microsoft Office and desktop publishing software. Ability to design and edit graphic presentation and materials. Technical proficiency and problem-solving skills. Strong verbal and written communication skills. Exceptional organizational skills and attention to detail. High degree of professionalism in dealing with diverse groups including board members, senior executives, staff, community leaders, donors, and funded partners. Ability to complete a high volume of tasks and projects with little to no guidance. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

Work Environment & Physical Demands

Work is primarily performed in a typical office environment. While performing the duties of this job, the employee is frequently required to sit for long periods. Routine use of a computer. Little noise, room temperature fluctuation and dust are possible in the office. Travel to other service areas may be required.
