Position Summary:
The typical workday will involve high phone call volume with freight providers and construction contractors, and high messaging volume internally by email and other apps within the organization. Our business unit supports Engineering & Construction, and the workload is volatile as schedules can change rapidly. The ideal candidate will be able to filter and synthesize information from multiple sources, maintain adherence to process and protocol, all while supporting rapid turnaround for delivery requests. This is a highly visible role, and the timely completion of all data entry is critical to maintaining the records trail for reporting compliance. Although the role does not require in depth technical expertise of the equipment being deployed for construction, the ideal candidate will need to quickly acquire the minimum requisite understanding of our product to excel in this position.
Responsibilities:
- Creating transaction records for freight moves in WMS (Extensiv) and ERP (NetSuite) systems.
- Booking delivery appointments with freight providers and contractors
- Updating schedules with status updates for multiple construction projects in CRM system (SiteTracker/SalesForce)
- Uploading support documentation for all transactions into the ERP and CRM systems
- Collecting and uploading support documentation for past transactions
- Maintaining multiple records trackers for equipment status
- Enforcing loading and delivery checklist compliance
- Classifying and uploading invoices into payment applications
- Resolving delivery issues, damage claims
- Engage and/or manage key stakeholders (internal and external partners) to ensure successful order fulfillments and completion of other tasks aligned with project/organizational goals.
Qualifications:
- Intermediate level user of all MS Office suite products
- Prior experience with SalesForce CRM and Netsuite (or similar ERP system) preferred
- Minimum 3 years of experience in programs and/or corporate administration (or any similar function requiring heavy data entry and admin support)
- Prior experience in freight/logistics or construction industry preferred
The estimated salary range for this position is $55,000 USD to $65,000 USD. Actual salary may vary depending on job-related factors, including knowledge, skills, experience, and location. In addition to a competitive base salary, we offer discretionary target cash bonuses, restricted stock units (subject to Board Approval), and a comprehensive benefits package including health, life, and disability insurance, unbounded paid time off including parental leave, and a 401(k).
