Position Description
The Operations Support Specialist will serve as a key player in ensuring the smooth and efficient functioning of our transportation operations. Reporting directly to the Senior Vice President of Operations, this role is responsible for optimizing operational processes through data analysis, ensuring system integrity, and providing ongoing support to the operational teams. This position requires exceptional attention to detail, strong data analysis and problem-solving abilities, and an in-depth understanding of regional operations.
Key Responsibilities:
· Operational System Management:
o Support the setup and optimization of transportation management systems (TMS) and telematics systems, ensuring data accuracy and integrity.
o Help streamline planning processes for contracts, ensuring smooth transitions and optimization.
o Manage service changes within the TMS, ensuring all updates are reflected accurately across systems.
o Assist in the setup and wind-downs of contracts, ensuring all operations and system configurations are aligned.
· Data Analysis & Reporting:
o Conduct detailed data analysis to identify opportunities for process optimization, ensuring operational systems are running efficiently.
o Support the monitoring and reporting of key performance indicators (KPIs) to operations managers, aiding them in identifying trends and areas for improvement.
o Provide bi-weekly or weekly roll-up reports to director-level leadership, summarizing operational performance and ongoing initiatives.
· Support Operations Managers:
o Facilitate recurring planning meetings with operations managers, providing insights and recommendations to improve efficiency and reduce operational disruptions.
o Ensure all operational work is planned effectively and efficiently, helping to minimize any potential disruptions to service.
· Payroll & Exceptions:
o Assist with the payroll process, ensuring that drivers are paid accurately and on time.
o Support the tracking and resolution of exception-based processes, such as transportation delays caused by traffic or weather conditions.
· Operational Excellence:
o Work closely with operations managers to provide operational support, ensuring all systems, processes, and communication channels are aligned for maximum efficiency.
o Identify and implement process improvements that reduce screen/desk time for managers and allow them to focus on operational leadership.
Qualifications:
· Strong attention to detail and ability to manage large volumes of data.
· Experience with transportation management systems (TMS) and telematics systems.
· Strong understanding of regional transportation operations and logistics.
· Excellent problem-solving and analytical skills.
· Excellent written and verbal communication skills.
· Proficient in Microsoft Office Suite, especially Excel, for data management and reporting. Experience with utilizing PowerBI preferred.
· Ability to work both independently and collaboratively in a fast-paced environment.
