Job Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, providing excellent customer service, and supporting various departments. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Greet visitors and manage front desk operations, ensuring a welcoming atmosphere.
  • Handle incoming calls and inquiries, providing exceptional customer service.
  • Maintain office files, incoming and outgoing mail, scanning and filing documentation to the appropriate staff.
  • Assist with scheduling appointments and managing calendars for team members.
  • Support office management tasks including inventory management and supply ordering.
  • Assist with medical records, financials, human resources, audits, and other key areas to ensure compliance.
  • Collaborate with team members to improve office processes and efficiency.
  • Provide assistance as a medical receptionist when needed, handling patient information with confidentiality.
  • Other jobs deemed necessary under the scope of practice as an administrative assistant.

Skills

  • Strong customer service skills with the ability to interact positively with clients and colleagues.
  • Proficient in file management practices and organizational skills.
  • Excellent proofreading abilities to ensure high-quality documentation.
  • Experience in front desk operations or similar roles is preferred.
  • High level of computer literacy, including proficiency in office software applications.
  • Familiarity with receptionist duties is advantageous but not required.
  • Strong time management skills to prioritize tasks effectively in a busy environment.

Pay: $18.00 - $21.00 per hour

Expected hours: 40 per week
