- Serve as the first point of contact for clients, vendors, and visitors, ensuring a professional and welcoming experience.
- Manage office communications, including phone and email correspondence.
- Assist in preparing materials for client meetings, presentations, and event proposals.
- Coordinate shipping, receiving, and inventory of program-related materials and supplies.
- Maintain office supplies, equipment, and furniture to ensure a well-functioning workspace.
- Oversee the office phone system, ensuring its efficiency and accessibility.
- Assist the Executive Assistant to the President with various administrative projects.
- Conduct research to support the team in destination selection and event planning.
- Manage site search processes and maintain detailed tracking grids for client reviews.
- Organize logistics such as transportation, signage, production elements, and event collateral.
- Support event coordination tasks, ensuring smooth execution from planning to completion.
- Strong proficiency in Microsoft Office and general computer skills.
- Excellent customer service and communication skills, with the ability to interact professionally with clients and vendors.
