Job Description:
As an Administrative Assistant & Bookkeeper, you will play a key role in supporting the daily operations of the office. You will be responsible for handling various administrative tasks, managing financial records, and assisting with marketing initiatives. This position requires a strong attention to detail, the ability to manage multiple tasks, and a passion for contributing to the overall success of the office.
Key Responsibilities:
- Administration:
- Manage daily office operations and ensure smooth workflow.
- Answer phones, respond to emails, and handle general inquiries.
- Maintain office supplies and equipment.
- Schedule meetings, appointments, and client consultations.
- Prepare and proofread correspondence, reports, and documents.
- Bookkeeping:
- Maintain accurate financial records, including accounts payable and receivable.
- Reconcile bank statements and process invoices and payments.
- Track expenses and assist with budgeting and financial reporting.
- Work with remote bookkeeper/CPA to assist them in filing taxes, etc
- Marketing Support:
- Assist with marketing campaigns, social media management, and website updates.
- Prepare promotional materials and presentations.
- Coordinate events or presentations to promote the firm’s work.
- Perform job searches and potential client outreach
Qualifications:
- Proven experience in administrative support, bookkeeping, and/or marketing.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (QuickBooks).
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in financial record-keeping.
- Experience in this role in architecture, design, or related field is a plus but not required.
- Ability to work independently and as part of a team in a collaborative environment.
Additional Skills (Preferred but not required):
- Experience with website management and social media platforms.
- Familiarity with project management tools or software.
- Graphic design skills (Adobe Creative Suite, Canva, etc.) for marketing materials.
