We are currently seeking a highly organized, detail-oriented, and proactive individual to join our team in a dual role of Administration and Bookkeeping. Job Description:
As an Administrative Assistant & Bookkeeper, you will play a key role in supporting the daily operations of the office. You will be responsible for handling various administrative tasks, managing financial records, and assisting with marketing initiatives. This position requires a strong attention to detail, the ability to manage multiple tasks, and a passion for contributing to the overall success of the office.

Key Responsibilities:

  • Administration:
  • Manage daily office operations and ensure smooth workflow.
  • Answer phones, respond to emails, and handle general inquiries.
  • Maintain office supplies and equipment.
  • Schedule meetings, appointments, and client consultations.
  • Prepare and proofread correspondence, reports, and documents.
  • Bookkeeping:
  • Maintain accurate financial records, including accounts payable and receivable.
  • Reconcile bank statements and process invoices and payments.
  • Track expenses and assist with budgeting and financial reporting.
  • Work with remote bookkeeper/CPA to assist them in filing taxes, etc
  • Marketing Support:
  • Assist with marketing campaigns, social media management, and website updates.
  • Prepare promotional materials and presentations.
  • Coordinate events or presentations to promote the firm’s work.
  • Perform job searches and potential client outreach

Qualifications:

  • Proven experience in administrative support, bookkeeping, and/or marketing.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (QuickBooks).
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Excellent communication skills, both written and verbal.
  • Attention to detail and accuracy in financial record-keeping.
  • Experience in this role in architecture, design, or related field is a plus but not required.
  • Ability to work independently and as part of a team in a collaborative environment.

Additional Skills (Preferred but not required):

  • Experience with website management and social media platforms.
  • Familiarity with project management tools or software.
  • Graphic design skills (Adobe Creative Suite, Canva, etc.) for marketing materials.
