We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic loan company team. This position plays a crucial role in supporting loan officers, managing daily office operations, and ensuring an exceptional client experience. The ideal candidate will be highly organized, proactive, and possess excellent communication skills to manage both client-facing and administrative tasks effectively.
Key Responsibilities
Administrative Support
- Serve as the first point of contact for clients, responding to inquiries via phone, email, and in-person professionally and promptly.
- Manage daily operations, including scheduling appointments, maintaining calendars for loan officers, and organizing meetings.
- Prepare, edit, and distribute correspondence, reports, and other documents as requested.
- Ensure all files, records, and loan documents are accurately maintained and up to date, both physically and digitally.
- Handle incoming and outgoing mail, packages, and deliveries efficiently.
Loan Processing Support
- Verify document completeness and communicate with clients to gather any missing information.
- Track loan application status and ensure all documentation is filed according to company policies and compliance standards.
- Coordinate with underwriters, loan processors, and other team members to ensure timely processing of loan applications.
Client Relations
- Greet clients warmly and ensure a positive experience throughout their interaction with the company.
- Provide general information to clients about loan products and services, directing them to loan officers for detailed inquiries.

Qualifications, Education and Experience
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
- 1 year of administrative experience, preferably in the financial, loan, or banking industry.
Skills and Competencies
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with CRM or loan management software.
- Strong organizational and multitasking abilities with attention to detail.
- Ability to maintain confidentiality and handle sensitive client information securely.
- Exceptional customer service and interpersonal skills.
- Knowledge of basic financial and loan terminology is a plus but not required.
