The Executive Assistant will provide executive-level administrative and project management support to the Vice President of Program Strategy and the Vice President of Research, Learning and Evaluation (RLE).
Duties/Responsibilities:
- Effectively communicates and collaborates with other Executive Assistants, Transition Leadership Team, and Board members to ensure efficient and timely execution of deliverables.
- Provides executive level clerical and administrative support by drafting power point presentations, letters, memos, invoices, reports, agendas and other documents.
- Uses project management skills to coordinate, monitor, and communicate status updates for complex projects managed in support of the Program Strategy and RLE teams.
- Provides proactive calendar management by prioritizing, shifting and scheduling meetings on behalf of the VP of program strategy and RLE, taking notes and recording minutes when necessary.
- Arranges travel and accommodation.
- Receives incoming communication or memos on behalf of executive team members, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate associates.
- Performs office tasks including maintaining records, ordering supplies, and performing basic budget maintenance support.
- Understand the importance of, and maintains sensitive and confidential information.
- Performs additional duties as assigned.
- Project Management Skills.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- High school diploma required, Bachelor's degree in Business Administration or related field preferred.
- Project Management certification or training preferred, but not required.
- At least five years of related experience required.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to travel on occasion for business purposes.
- Must be able to lift up to 15 pounds at times.
