Executive Assistant

The Executive Assistant will provide executive-level administrative and project management support to the Vice President of Program Strategy and the Vice President of Research, Learning and Evaluation (RLE).

Duties/Responsibilities:

  • Effectively communicates and collaborates with other Executive Assistants, Transition Leadership Team, and Board members to ensure efficient and timely execution of deliverables.
  • Provides executive level clerical and administrative support by drafting power point presentations, letters, memos, invoices, reports, agendas and other documents.
  • Uses project management skills to coordinate, monitor, and communicate status updates for complex projects managed in support of the Program Strategy and RLE teams.
  • Provides proactive calendar management by prioritizing, shifting and scheduling meetings on behalf of the VP of program strategy and RLE, taking notes and recording minutes when necessary.
  • Arranges travel and accommodation.
  • Receives incoming communication or memos on behalf of executive team members, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate associates.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic budget maintenance support.
  • Understand the importance of, and maintains sensitive and confidential information.
  • Performs additional duties as assigned.

Required Skills/Abilities:

  • Project Management Skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Education and Experience:

  • High school diploma required, Bachelor's degree in Business Administration or related field preferred.
  • Project Management certification or training preferred, but not required.
  • At least five years of related experience required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to travel on occasion for business purposes.
  • Must be able to lift up to 15 pounds at times.
