What are the responsibilities and job description for the Executive Administrative Assistant position at Exact Staff?
Our client is a major manufacturer of sustainable food packaging for leading food brands with clients all over the world. We are seeking a highly skilled Executive Administrative Assistant for their main office in Woodland Hills, CA.
In this role, you will provide primary administrative support to the company President, Senior Vice President of Sales, and CFO.
You will be responsible for coordinating meetings, managing appointment schedules, organizing travel, and drafting / editing correspondence.
Other duties include :
- Creating, maintaining, retrieving, and following up on all active and archived files in the filing system.
- Digitizing files as permitted and filing them accordingly.
- Preparing expense reports for management.
- Assisting in the development of key PowerPoint presentations for the head of sales. You will also need to make sure you have all the details needed to make these presentations a success.
- Taking minutes during a meeting and sending the information to the president.
- Answering and screening vendor calls, and relaying messages promptly.
- Tracking attendance and vacation schedules.
- Maintaining confidentiality of sensitive information.
- Other administrative duties as needed.
This is a full-time, temp-to-hire, first-shift position, working Monday to Friday from 8 : 00 am to 5 : 00 pm.
