Position Overview
We are seeking a highly organized and detail-oriented Document Control Clerk to manage, maintain, and control company documents and records. The ideal candidate will have strong analytical and communication skills, with the ability to write and revise procedures, track documentation, and support compliance with company policies and industry standards. This position requires excellent organizational abilities and attention to detail to ensure that all documentation is accurate, current, and properly stored.
Key Responsibilities
- Create and revise forms – Develop and update forms for reading sheets to ensure accuracy and compliance with operational needs.
- Write and update procedures – Draft and revise standard operating procedures (SOPs), emergency operating procedures, shutdown/start-up procedures, "What If" scenarios, and Job Safety Analyses (JSAs).
- Manage document change requests – Review, revise, copy, file, and post documents associated with written change requests.
- Maintain information centers – Set up and manage the Employees’ Information Center, training materials, reading sheets, and posted procedures across the control room.
- File daily records – Organize and file daily reading sheets and safe work permits.
- Edit ISO and safety policies – Review and update ISO and Process Safety Management (PSM) policies to ensure compliance with industry standards..
- Prepare and enter reports – Compile and submit Morning Reports, Environmental Averages for grade changes, and Monthly MMR Reports.
- Develop training aids – Assist in the preparation of training aids for Plant Production.
- Manage equipment documentation – Prepare, revise, and maintain blind lists for Plant vessels.
- Organize new equipment documentation – Collect, write, and assemble test procedures, operating instructions, drawings, and flow diagrams for new equipment commissioning (pre-startup safety review).
- Manage incident reports – Maintain Plant Incident Report Database and review open incident reports monthly.
- Participate in training – Complete all required training to stay updated on policies and procedures.
Qualifications
- High school diploma or equivalent; additional certification in document control or records management preferred.
- Proven experience in document control, records management, or a related field.
- Strong writing, editing, and organizational skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
- Ability to work independently and manage multiple priorities effectively.
- Strong attention to detail and ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills.
