Job Function:
The Production Coordinator will play an integral role assisting in the development, management, and execution of projects, collaborating with various internal teams to execute projects on time, within budget, and up to the expectations of our clients. The Production Coordinator will work closely with a variety of vendors, suppliers, and freelancers and will be asked to solve problems daily, hopping in and out of projects at various stages as they move towards execution. The Production Coordinator will be expected to manage realistic expectations and a steady workflow on all projects from conception to delivery, both internally and externally. The Production Coordinator plays a pivotal role in bringing events to life and ensuring that they meet or exceed expectations. Strong organizational, communication, and problem-solving skills are essential for success in this role. The Production Coordinator will be expected to oversee a multitude of tasks; including, but not limited to:
- Collaborate with clients or internal stakeholders to understand event objectives,
requirements, and expectations. - Develop and maintain detailed event plans, including timelines, production task lists, and
budgets. - Coordinate logistics, such as venue selection, catering, transportation, audio-visual
equipment, and other necessary resources. - Identify, negotiate with, and contract vendors and suppliers for various event services
and products. - Ensure that all contracts and agreements are in place, and that vendors meet quality and
budgetary requirements. - Coordinate and oversee the work of external service providers.
- Track expenses, process invoices, and reconcile financial records related to the event.
- Oversee on-site event setup, execution, and breakdown.
- Manage event staff, including volunteers, and ensure that everyone is briefed on their
roles and responsibilities. - Communicate event details and updates to all relevant stakeholders.
- Prepare and distribute event-related materials and documentation.
- Create and maintain a detailed event timeline to ensure all tasks are completed on
schedule. - Anticipate potential issues and implement contingency plans as needed.
- Obtain necessary permits and approvals for the event, ensuring compliance with local
regulations. - Conduct post-event evaluations to assess the success of the event.
- Gather feedback from clients, participants, and stakeholders for continuous
improvement. - Address and resolve any challenges or issues that may arise before, during, or after the
event. - Display an ability to collaborate with and challenge vendors on finding creative solutions
to problems - Seamlessly layer into projects when necessary, with an ability to quickly disseminate a
client brief or plan. - Build and maintain industry knowledge, relationships, and resources that can be
leveraged to help drive projects forward. - Keep a pulse on trends in advertising, entrepreneurship, technology, sport, music,
entertainment, lifestyle, art, and culture.
Requirements:
- 1-3 years of relevant work experience in production coordination or a related role either
within an agency environment or for a brand. - Strong organizational and multitasking skills are crucial for managing various aspects of
production simultaneously. - Experience working with creative, digital, event, and project management teams.
- Excellent communication skills, both written and verbal, are essential for interacting with
team members, clients, vendors, and other stakeholders - Ability to identify issues and proactively find solutions.
- Creative problem-solver and highly conceptual abstract visual thinker.
- Confident self-motivator; proactive and willing to initiate action.
- Outstanding relationship skills and a team-oriented, highly collaborative approach to
work. - Ability to work efficiently in a fast-paced, detail-driven environment, across multiple
projects with tight deadlines. - A self-starter who can manage multiple tasks and projects at any given time.
- Highly competent in Google Suite, with proficiency in Adobe Creative Suite, Slack, Box, Asana, and other project management platforms.

The pay range for this position is $65,000 - $70,000 per year. This position is also eligible for benefits and discretionary bonus.
Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
