Executive Assistant and Marketing Coordinator , playing a key role in both operational efficiency and practice growth.
Role Overview : The Executive Assistant and Marketing Coordinator will serve as a key support to our leadership team while also contributing to the practice’s marketing efforts. This hybrid role is perfect for a highly organized individual who can manage executive-level administrative tasks while developing and implementing creative marketing strategies to enhance our visibility and patient engagement.
Key Responsibilities :
Executive Assistant Duties :
Manage the COO’s and physicians’ schedules, appointments, and correspondence to ensure seamless day-to-day operations.Act as the first point of contact for internal and external communications on behalf of the leadership team.Coordinate and prepare materials for meetings, presentations, and projects.Handle administrative tasks such as email management, document preparation, and expense tracking.Liaise with vendors and contractors to maintain office operations.
Marketing Coordination :
Create, execute, and monitor digital marketing campaigns, including Google Ads, SEO, and social media initiatives.Maintain and update website content, ensuring accuracy and alignment with practice branding.Develop patient-facing communications, newsletters, and promotional materials.Analyze marketing data to prepare reports and recommend optimizations.Collaborate with external consultants or vendors on advertising and branding initiatives.Organize and coordinate practice events or patient engagement activities as needed.
Qualifications :
Bachelor’s degree in business, marketing, communications, or a related field.3 years of experience in executive support, marketing, or a similar combined role. Healthcare experience is a plus.Strong organizational and multitasking skills with impeccable attention to detail.Proficiency in marketing tools (Google Ads, Google Analytics, social media platforms) and Microsoft Office Suite. Familiarity with design tools like Canva or Adobe Creative Suite is a bonus.Excellent written and verbal communication skills, with a professional demeanor.Ability to work independently, prioritize tasks effectively, and adapt in a dynamic environment.
