What are the responsibilities and job description for the Commercial Loan Specialist position at Exchange Bank?
Commercial/SBA Loan Processing:
- Serve as liaison to Relationship Managers, Business Development Officers, internal and external customers and/or agencies, and Loan Service Center to facilitate the origination of loans.
- Review incoming loan submissions for compliance with Regulation B and minimum application requirements.
- Coordinate data collection, input and generate reports for Regulation B tracking, pipeline reporting, production reporting, marketing budgets, and loan status log.
- Order, track, and update UCC searches and credit reports.
- Prepare SBA loan application documentation and submit via E-tran.
- Prepare lists for borrowers identifying outstanding credit items needed to underwrite loan transactions.
- Work with Loan Service Center (LSC) to ensure that collateral requirements are met and lien priority is adequately protected.
- Prepare loan files for documentation, including completion of the Doc Prep Memo to facilitate the documentation and funding of loans.
- Monitor approved loans for compliance of conditions for approval. Prepare disbursements and reconcile all disbursements to spreadsheets.
- Monitor the flood insurance and certifications, and other insurance requirements for loan pre-closing.
- Work with LSC to ensure that ongoing loan servicing and credit worthiness is monitored. Monitor the disbursement of loans including coordination of any funding through escrow and boarding of loans through the LSC.
- Ensure the loan pipeline reports are updated daily to reflect all changes in loans.
- Perform, monitor and track the tax verification following standard procedures.
- Review all files after borrower acceptance and compile an updated needs list for the loan officer.
- Ensure that loan documents are not released or funded until appropriate conditions have been met.
- Check all required databases for prior loss and/or debarment.
For Senior Level:
- Coordinate the processing of all credit actions for larger and more complex commercial and SBA loans adhering to lending policies and ensuring credit authority is approved in advance.
- Coordinate loan documents, ensuring all customer documentation is properly prepared and accurate before submitting to the Loan Service Center (LSC) documentation team.
- Act as primary contact with LSC regarding the processing of commercial and SBA loan requests.
- Pre-screen Credit Approval for accuracy and resolve documentation issues before submitting to LSC for document generation.
- Prepare SBA loan application documentation and submit via E-Tran.
- Ensure preliminary and title policy reports, escrow instructions, exceptions/easements and final recording of documents are coordinated with internal staff and title companies.
- Produce department reports, including loan maturing reports, past due reports, tickler reports, audit requirements, pipeline reports.
- Serve as the primary or secondary contact point for information gathering and continued processing aspects of the approval of conventional commercial and SBA loans.
- Work with Certified Development Corporation (CDC) personnel on 504 transactions including the preparation and tracking of third-party agreements and payment of lender fees.
- Attend SBA related trainings to maintain real time expertise on documentation, funding and servicing requirements specific to SBA.
- Prepare and send required SBA forms to all applicants.
- Under the supervision of management, manage the SBA loan sale process.
Appraisal Coordination:
- Order appraisal engagements, business valuations, environmental reports and title reports as needed. Track the process and send periodic requests for updates.
- Liaison with outside fee appraiser for appraisals, including negotiating acceptable terms for assignments, issuing engagement letters, and ensuring that reports are in conformance with regulations and the Bank’s appraisal policy.
- Review appraisals for completeness, consistency, and compliance with the Bank’s appraisal policy, and regulatory guidelines.
- Mediates and reconciles valuation issues between Relationship Managers and appraiser to identify scope of all appraisal problems and escalate issues as necessary.
- Develop and make recommendations for changes to the appraisal policies and procedures at the Bank.
Administrative:
- Provide administrative support for management, including drafting and finalizing memos and correspondence, copying and data input.
- Input data, facilitate mail merges, and provide other administrative support for lending officers.
- Distribute department mail and organize department/EB meetings and calendars.
- Complete large copy projects, file maintenance and audit preparation as necessary.
- Facilitate bill payment to Accounting.
- Administer all internal/external audit reviews, including self-reviews of files and compliance.
- Provide training and support to other Bank department staff as needed within the functional areas outlined above.
Knowledge, Skills and Abilities Required:
- Knowledge of loan administration methods and practices.
- Knowledge of loan origination software.
- Knowledge of loan servicing operations and functions.
- Skills operating a personal computer including word processing, spreadsheet and presentation software.
- For Appraisal Coordination specialty:
- Knowledge of valuation techniques relating to all types of real estate properties.
- Knowledge of Bank’s real estate market areas.
- Ability to read and understand building plans.
- Familiarity with processing and servicing large commercial loans, commercial real estate and construction loans. (For Senior Level)
- Familiarity with SBA loan processing and regulatory requirements. (For Senior Level)
Minimum Qualifications:
A combination of education and experience equivalent to a high school diploma and at least 3 years' experience in commercial loan processing and/or servicing, administrative support in a lending operation or other closely related experience. (For Senior Level : 5 years' experience with progressively responsible experience in commercial loan processing and/or servicing, handling large, complex commercial loans and SBA loans, and/or other closely related experience).
Compensation:
The hiring range for this position is $25.00 to $45.00 per hour. The salary offered will fall within this range commensurate with the candidate's applicable experience, education, and skills.
