The Organization
Established in 2010, inSIGHT Through Education’s simple, profound mission is to inspire and educate, encouraging kindness, acceptance and respect for all, using lessons learned from the Holocaust and genocides worldwide, to recognize and oppose antisemitism, hatred and bigotry.
The State of Florida mandated Holocaust education in 1994. In 2020, the subject of antisemitism was added to the instruction. inSIGHT Through Education provides over 90% of the funding for Holocaust education for students and professional development for teachers at Palm Beach County Public Schools, the 10th largest school district in the country.
inSIGHT Through Education funds programs that go above and beyond the mandate, providing engaging, memorable and impactful experiences. Our vision is to reach EVERY student EVERY year with lessons of kindness, acceptance and respect, combating the dangers of unchecked hatred. inSIGHT Through Education has significantly increased their support to Palm Beach County's Holocaust Studies Program; quadrupling funding over the past two years. Our committed volunteers worked diligently to expand and promote Holocaust education and combat discrimination and hatred of all forms. Position Description: The Operations Assistant provides comprehensive support to executive, program, and donor stewardship staff.
Essential Duties and Responsibilities
- Provide general office support, including managing correspondence, answering phones, and distributing mail.
- Maintain organized records of meeting notes, agendas, and action items.
- Collaborate with colleagues on routine tasks and projects.
- Assist with event logistics, such as preparing materials, coordinating registrations, and providing on-site support.
- Support data entry and updates in Accounting and Donor CRM systems, ensuring accuracy and timeliness.
- Prepare donor acknowledgments and invoicing.
- Assist with preparing reports, pledge cards, and donor stewardship materials.
- Manage the organization’s calendar. Coordinate meeting logistics, including scheduling, preparing materials, and tracking follow-ups.
Qualifications and Success Factors
- Associate degree (minimum). Bachelor's degree preferred
- Three or more years of administrative experience with executive support.
- Excellent customer service skills and professionalism are required.
- Excellent written and verbal communication skills are required.
- Excellent organizational skills with high attention to detail and the ability to multitask, prioritize and manage multiple projects.
- Strong knowledge of office computing, including the MS Office Suite. An advanced level of organizing and manipulating data in Excel spreadsheets is required. Knowledge of Quickbooks Pro (or similar accounting applications), donor CRMs, and Zoom is required.
- Strong interpersonal skills and ability to work independently and cooperatively within a team.
- Strong work ethic.
- Experience scheduling meetings and managing multiple calendars.
- Ability to work in a fast-paced environment, meet deadlines, prioritize tasks, multi-task, respond to urgent matters, and pay attention to detail.
- Ability to take and adapt to constructive feedback.
- Must be able to handle confidential data with sensitivity and discretion.
- Must be able to pass Level 2 background check.
- Must be able to work occasional evening and weekend hours if needed.
Work Environment: This is predominantly a work-from-home position with anticipated twice weekly in-person meetings (Palm Beach Gardens) in accordance with inSIGHT Through Education’s policies.
Pay Rate and Benefits: This is an hourly position paid at the rate of $25 per hour for 40 hours per week, November through March, and for 30 hours per week, April through October. Starting benefits include 2 weeks paid vacation to be taken off-season (May-September), plus Christmas and major holidays.
