Key Responsibilities
Customer Service & Communication (35%)
- Serve as a primary point of contact for customer inquiries, providing professional and timely assistance.
- Answer and direct service-related calls, ensuring proper technician assignment based on skill level.
- Maintain and update customer records, including service history and account details.
- Follow up on pending service work and recommended repairs in coordination with the sales team.
- Proactively engage with customers to verify account information and resolve issues.
- Provide general office support to the service team, including document management and scheduling assistance.
- Prepare and process paperwork for manufacturer warranty parts.
- Monitor permit renewals, equipment registrations, and compliance deadlines.
- Assist with maintaining technician schedules, dispatch board updates, and contract spend plans.
- Review service work orders, technician time records, and material purchase orders for accuracy.
- Collaborate with the accounting team to address invoice questions, discrepancies, and necessary adjustments.
- Process assigned tasks related to accounting systems, including contract billing and asset tracking.
- Work with the Director to analyze job trends by market segment, equipment type, and customer base.
- Provide updates and status reports to management on service requests and project completion.
- Track and report key service metrics to help optimize operations.
- Support additional projects or initiatives as needed to enhance service operations.

Minimum Qualifications
- 1-2 years of experience in an administrative or customer service role, preferably in a service-based industry.
- Strong organizational, communication, and problem-solving skills.
- Strong customer service and communication skills.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong problem-solving skills and adaptability to changing circumstances.
- Ability to work both independently and collaboratively.
- Associate’s degree in Business Administration, Customer Service, or a related field.
- Prior experience in a service-based industry (HVAC, mechanical systems, or related fields).
