Mailroom Room Coordinator
Responsibilities include document receiving, opening, sorting, preparation, scanning, mailing and archiving.
In this role, the following functions are managed:
Accepting mail, logging mail and matching mail to record retrieval order.
Prepared and coordinate facility packets for mail
Sorting and scanning documents
Inbound Mail Function
Open, review and sort incoming mail received from Custodian of Records/Providers, Court Systems, Opposing Counsels and Clients.
Accurately log in mail, review and identify content and match to a record retrieval order.
Prepare paper medical records and other healthcare related correspondence for scanning.
Review, prepare and process incoming electronic records received via e-fax, email, CD, SFTP, web portal.
Scan invoices and payment checks and attached to portal.
Monitor email accounts and respond to inquiries from internal Operations teams.
Operate postage meter, inserter, scanner, printers.
Outbound Mail Function
Generate, Review, and prepare files of outgoing letters to Providers on a daily basis.
Maintain tracking of all outgoing letters using Excel spreadsheets.
Operate postage meter, inserter, scanner, printers.
Review and process return mail.
Monitor email accounts and respond to inquiries from Operations team.
Meet quality and productivity standards as indicated by service level.
Comply with HIPAA and other regulations regarding confidentiality of information.
Open, review and sort incoming mail by Client / Audit Program.
Accurately review and prepare paper Medical Records and other Healthcare related correspondence for scanning following a standardized process.
Scanning Function
Organize pages received and scan using printer and scanner
Review scan to ensure pages are uploaded and readable
Organize and archive physical documents
Shred documents daily, weekly and monthly as defined by procedures.
Qualifications:
Education: High school diploma or equivalent
Prior experience in mailroom, production or back office, especially in insurance or healthcare setting
Prior experience as a document processor or working with Medical Records
Knowledge and Skills:
Demonstrates the ability to work in an organized, efficient and process-oriented manner
Strong oral and written communication skills and the ability to problem solve
Ability to transition from one task to another, while maintaining attention to detail
Proficient in Microsoft Office, emphasis with Excel and Outlook
Comfortable working in a high-volume, fast-paced environment either with a team or individually
Comfortable using various types of office equipment and software programs.
Prior Insurance or Healthcare experience a plus
