General Summary:
Carries out the day-to-day Service operations assisting with administrative duties of the department. Responsibilities include, but not limited to, complete knowledge of Exotic product lines, servicing customer inquiries, product requests, quotations, order entry, order follow-up and job labor utilization.

Essential Job Functions:

· Assists with all aspects of creating and processing an order, including the input of customer product records, EDI’s and pricing structure, order follow up/expediting.

· Assists with sales related procedures including sourcing, follow-up, returned goods, non-conforming, issuing materials, etc.

· Resolution of related account discrepancies. Work with accounting department to establish terms and conditions for large scale projects.

· Estimating and processing of capital equipment orders. Coordinating shipments and installation.

· Troubleshoots and resolves system issues with orders.

· Develops effective scheduling processes for jobs and labor.

· Updates and analyzes weekly call logs.

· Generates daily, weekly, and monthly reports for critical decision-making purposes.

· Accounting interfacing (invoice rejections, non-payment on orders, etc.).

· Oversees rental and service contracts. Including: drafting contracts, approving contracts, and billing.

· Creating work orders for technicians using scheduling software.

· Develops understanding of all types of work in the Service department and timely completion of assigned tasks.

· Understands all policies and procedures within the department and corporation.

Supplemental Job Functions:

· Provides and supports a positive work environment.

· Responsible for profitability of company and attaining goals and objectives set forth by the Board of Directors.

· Participates in corporate on-boarding and orientation programs.

· Performs other duties as assigned or requested.

Knowledge, Skills and Abilities Required:

· High School Diploma (required).

· Previous work experience (manufacturing, construction, or automation preferred)

· Customer orientation and ability to adapt to different types of personalities.

· Moderate level PC skills. Must be proficient in Microsoft programs.

· Demonstrated problem-solving capabilities.

· Ability to work overtime when necessary, with appropriate notice.

· Organizational skills required to prioritize, plan and coordinate work activities and resources in area of responsibility.

· Interpersonal skills necessary to effectively communicate with associates, customers, business partners and management team. Demonstrated teamwork approach with superiors, peers and subordinates utilizing skills in oral communication, active listening, written and oral directions and cooperating with and assisting others when needed.

Working Conditions:

· Normal business office environment with regular (up to 100% of work time) exposure to noise, dust, office equipment and supplies.

· Physical dexterity is needed to bend, stretch, lift and reach.

· Ability to sit or stand for extensive periods throughout the day.

· Ability to perform basic office tasks using standard office equipment.

· Ability to use a keyboard and computer.

Salary : $50,000 - $60,000
