Job Summary
The Service Operations Assistant plays a vital role in the day-to-day operations of the department, assisting with administrative duties and providing exceptional customer service. Key responsibilities include product knowledge, customer inquiries, order entry, and job labor utilization.
Essential Job Functions
- Assists with creating and processing orders, including customer product records, EDI's, pricing structure, order follow-up, and expediting.
- Supports sales-related procedures, including sourcing, follow-up, returned goods, non-conforming items, issuing materials, and resolving account discrepancies.
- Works with the accounting department to establish terms and conditions for large-scale projects.
- Estimates and processes capital equipment orders, coordinating shipments and installation.
- Troubleshoots and resolves system issues related to orders.
- Develops effective scheduling processes for jobs and labor.
- Updates and analyzes weekly call logs.
- Generates daily, weekly, and monthly reports for critical decision-making purposes.
- Manages accounting interfaces, including invoice rejections and non-payment on orders.
- Oversees rental and service contracts, including drafting, approving, and billing.
- Creates work orders for technicians using scheduling software.

Knowledge, Skills, and Abilities Required
- High School Diploma (required).
- Previous work experience in manufacturing, construction, or automation (preferred).
- Customer orientation and adaptability to different personalities.
- Moderate level PC skills, proficiency in Microsoft programs.
- Demonstrated problem-solving capabilities.
- Ability to work overtime when necessary, with appropriate notice.
- Organizational skills to prioritize, plan, and coordinate work activities and resources.
- Interpersonal skills for effective communication with associates, customers, business partners, and management team.
Working Conditions
