Summary:
A leading non-profit organization in the Grand Haven Area is looking for an experienced Executive Assistant to join the team. This position provides high-level administrative support to the Leadership Team and Board of Trustees, including affiliated organizations. This role manages calendars, coordinates meetings and events, prepares and edits executive documents, maintains records and databases, and supports organizational operations. This is a contract-to-hire position. The starting pay is $25/hr for and then transitioning to a salaried position after ~520 hours worked. The pay range upon hire in is $55,000-$57,000 with great benefits.
Key Responsibilities:
Leadership Team Support
- Manage calendars, schedule and coordinate meetings, including venues and catering.
- Draft and edit correspondence, reports, presentations, and surveys.
- Maintain and update databases; generate reports and mailing lists.
- Assist with human resource and project-related tasks as needed.
Board of Trustees Support
- Organize and distribute board and committee materials (agendas, invites, packets).
- Take professional meeting minutes and maintain board documents (rosters, calendars, forms).
- Support board events, education, and member recognition.
- Maintain document access and organization via SharePoint.
Administrative & Event Support
- Coordinate responses to community and event requests.
- Handle acknowledgments such as sympathy cards, congratulations, and memorials.
- Reconcile expense reports and credit card statements.
- Support front desk and hospitality as needed.
Other Duties
- May oversee administrative staff, including performance management.
- Answer phones, manage confidential information, and maintain accurate records.
- Contribute to a collaborative and respectful team environment.
Qualifications:
- Associate degree in office or business administration required; Bachelor’s preferred.
- Minimum 5 years of administrative experience; executive or board support experience desired.
- Strong skills in Microsoft Office, Adobe Acrobat, and CRM databases (Foundant CSuite a plus).
- Excellent organizational, communication, and proofreading skills.
- Ability to manage multiple priorities and work independently.
- High level of professionalism, discretion, and interpersonal awareness.
