Under basic supervision, performs administrative support and customer service functions for assigned areas; completes special projects and research as assigned.

DISTINGUISHING CHARACTERISTICS

This is the journey level in the Administrative Support job series. Incumbents have acquired the necessary knowledge

to review and process data, files, and documents for the area of assignment. Projects are generally limited to a medium scope. It is distinguished from the Administrative Support Assistant by work assignments that typically require applying judgment, discretion, and initiative to complete work assignments, and by judgment and authority

exercised in setting priorities.

ESSENTIAL DUTIES & RESPONSIBILITIES

This job description intends to provide a representative summary of the major duties and responsibilities employees perform in this job.   • Performs a variety of clerical functions, including typing, filing, and maintaining records; cross-trains in other administrative jobs and performs assigned tasks as needed.
  • Processes customer requests and transactions, receives payments, completes necessary forms for County services, determines and assesses fees for services; enters account information into a database, verifies accuracy of information, prepares reports, and files documents.
  • Applies specific knowledge of County policies and procedures to organize and coordinate work, and relieve the manager and staff of routine administrative detail; duties may vary according to job assignment.
  • Receives, reviews, and processes technical, legal, and financial documents; reviews accounts, reports, records, and other documents for completeness, accuracy, and compliance with County procedures; collects data to maintain records, and prepares summary reports.
  • Maintains administrative files; researches files and computer databases; ensures all administrative actions comply with County policy, procedures, and guidelines.
  • Provides information and assistance to customers, visitors, and others having business with the County; responds to requests for information and resolves problems within the scope of authority; explains laws, rules, regulations, policies, and procedures; screens and routes phone calls.
  • Responds to requests for information, and resolve them by researching files and records; explain the proper use and completion of forms and documents; refer to matters requiring policy interpretation to

the supervisor for resolution.

  • Performs other duties as business needs necessitate.
  • Competencies

    Knowledge of :

  • County policies and procedures.
  • Applicable state and federal rules, codes, and regulations for the area of assignment.
  • Principles and practices of file management, accounting / bookkeeping, record keeping, case management, and records management.
  • Techniques for dealing with the public, in person and over the telephone.
  • Business and personal computers, and specialized software applications.
  • Skill in :

  • Performing a variety of clerical functions to support County operations.
  • Entering data and numerical information into a computer system with speed and accuracy, and maintaining electronic records, files, and databases.
  • Interpreting a variety of technical instructions and program requirements.
  • Reviewing documents for accuracy, completeness, and compliance with requirements.
  • Understanding and explaining rules, regulations, codes, laws, and ordinances.
  • Establishing and maintaining cooperative working relationships with co-workers.
  • Communicating effectively verbally and in writing.
  • Ability to :

  • Demonstrate courteous behavior when interacting with visitors and County staff.
  • Promote County goals and priorities, and comply with all policies and procedures.
  • Minimum Qualifications

    High school diploma or GED equivalent; AND two (2) years of administrative support experience; OR any equivalent

    combination of training, education, and experience that provides the required skills and knowledge to perform the

    essential functions of the job.

    Work Environment

    Work is performed in a standard office environment.

    Licenses and / or Certifications

    Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date.

    Specific technical training and certifications may be required for some incumbents, depending on the area of

    assignment.
