Performance-Based Job Description: Construction Coordinator

Role Overview: The Construction Coordinator is a critical administrative role focused on ensuring smooth communication between project managers, subcontractors, and clients. The position is designed to support project success by coordinating resources, maintaining compliance with safety and company policies, and tracking project milestones and financial records. The Coordinator plays an essential role in managing project documentation and resolving on-site conflicts to keep the project on track.

Key Performance Responsibilities:

  1. Facilitate Communication Between Stakeholders:

    • Performance Metric: Ensure 100% timely communication between project managers, subcontractors, and clients.
    • Performance Expectation: Proactively bridge communication gaps and ensure all stakeholders are aligned with project goals and timelines.
    • Performance Outcome: Minimize misunderstandings, delays, or miscommunications, contributing to smooth project execution.
  2. Procurement Coordination & Material Management:

    • Performance Metric: Ensure the timely procurement of materials and track project milestones effectively.
    • Performance Expectation: Materials are procured within budget and delivered on time to prevent project delays. Milestones are tracked, and any deviations are flagged for corrective action.
    • Performance Outcome: Meet or exceed procurement timelines with minimal disruption to the project schedule.
  3. Safety & Compliance Monitoring:

    • Performance Metric: Ensure 100% adherence to safety regulations and company policies.
    • Performance Expectation: Conduct regular safety checks, enforce safety standards, and ensure all teams follow protocols.
    • Performance Outcome: Zero safety violations and compliance issues, maintaining a safe and legally compliant work environment.
  4. Project Documentation & Conflict Resolution:

    • Performance Metric: Ensure all project documentation (contracts, change orders, permits) is accurate, complete, and filed appropriately.
    • Performance Expectation: Resolve on-site conflicts efficiently, ensuring minimal impact on project timelines.
    • Performance Outcome: All documentation is managed properly, with no more than 1-2 instances of incomplete or delayed paperwork per project. Conflicts are resolved promptly, ensuring no extended delays.
  5. Financial Tracking & Budget Management:

    • Performance Metric: Maintain accurate and up-to-date financial records for each project.
    • Performance Expectation: Track project budgets, monitor costs against estimates, and provide regular updates to project managers.
    • Performance Outcome: Achieve financial tracking accuracy with no more than 3% deviation from the approved budget.
  6. Project Scheduling & Milestone Tracking:

    • Performance Metric: Track project milestones and ensure that the project stays on schedule.
    • Performance Expectation: Utilize project management tools to monitor progress, ensuring tasks are completed on time.
    • Performance Outcome: 100% of key milestones are met as scheduled, with proactive management of any delays.
  7. Software Proficiency:

    • Performance Metric: Ensure proficiency in Microsoft Office, Procore, and blueprint interpretation for effective project support.
    • Performance Expectation: Use these tools to support administrative tasks, track project progress, and assist in decision-making.
    • Performance Outcome: Effective and efficient use of tools with minimal errors in project tracking, communication, and documentation.

Qualifications & Experience:

  • Education: An Associate or Bachelor's degree in Construction Management, Civil Engineering, or a related field (preferred but not mandatory).
  • Experience: 2–5 years of experience in construction coordination or administrative roles, with preference for candidates with high-tech project experience.
  • Location: Must be based in CST (TN or IL preferred).
  • Skills: Proficiency in Microsoft Office, project management software (e.g., Procore), and blueprint interpretation. Strong communication and organizational skills are essential.
  • Certifications: PMP or CAPM certifications are advantageous, but not required.
