Summary:
esp is seeking a highly organized and proactive Special Projects Coordinator to support the planning, execution, and completion of various special projects across the organization in close proximity to the CEO. The ideal candidate will ensure that projects are completed on time, within budget, and meet quality standards. The Special Projects Coordinator will work closely with the CEO on a daily basis. Success in this partnership will require strong emotional intelligence, excellent communication skills, attention to detail, and the ability to work collaboratively with cross-functional teams. Ultimately this person will support the CEO in ways that allow her to focus on the highest priorities of her role.
Top Five Responsibilities:
- Develop project timelines, goals, and milestones, ensuring that projects that involve the CEO stay on track and meet deadlines.
- Collaborate with various teams or departments, ensuring effective communication and resource allocation.
- Create strong budget and resource management practices.
- Exhibit proactive problem solving and risk management skills.
- Maintain detailed documentation of the project’s progress, including status reports, budget updates, and meeting minutes.

Detailed Functions, Responsibilities & Skills:
- Collaborate with multiple parts of the organization to define project scope, goals, and deliverables on behalf of the CEO.
- Develop project plans, timelines, and resource allocation strategies.
- Coordinate project activities, ensuring effective communication among team members and stakeholders.
- Track project progress, milestones, and performance metrics; prepare status reports for management.
- Efficiently manage and coordinate CEO’s calendar by scheduling meetings, appointments, and travel while ensuring time optimization and alignment with priorities.
- Develop and execute engaging social media strategies across platforms, creating content, managing posts, and analyzing performance to enhance brand visibility and audience engagement.
- Assist in budgeting and financial tracking for projects, ensuring adherence to organizational budgetary guidelines.
- Organize and facilitate project meetings, including preparing agendas, taking minutes, and following up on action items.
- Stay up to date on Marketing Strategies on behalf of the CEO.
- Conduct research and gather relevant data to support project initiatives.
- Identify risks and challenges associated with project execution and propose solutions.
- Update and maintain project documentation and files.
- Support the development and implementation of project tools and processes to enhance workflow efficiency.
Experience/Preferred Requirements:
- High EQ and ability to create strong systems that will allow them to anticipate the CEO’s needs and priorities
- Detail-oriented with a strong analytical mindset
- 2 years of experience in project coordination or management, preferably in a similar industry
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent written and verbal communication skills
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Proficiency in Google Suite and comfortable with technology and multiple management platforms (i.e. Asana, Canva, etc.)
- Ability to work independently and as part of a team in a fast-paced environment
- Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus
Job Details:
- Compensation: $50,000
- FLSA Status: Exempt, Salaried, Full-Time
