A small growing local Portsmouth medical manufacturer is looking for a reliable and organized individual to fill the immediate position as Office Administrator and Customer Service. A part-time position with room to advance to a full-time Office Manager role.
Responsibilities:
1) Shipping Documentation & Scheduling:
· Prepare daily shipping documentation (BOL’s, COA, packing list)
· Prepare daily shipping labels for transit
· Schedule daily pickups with UPS, FedEx, and Freight Carriers
· Billing and invoice prepping
· Manage customer files
· Maintain documentation traveling through systems
2) Customer Service:
· Provide tracking information to customers
· Answering incoming calls regarding customer orders
· Direct customers to proper company resources
· Sales Support
· Check and maintain daily physical mail stream
· Maintain reception and customer visitation
3) Phone and Office Reception:
· Answering incoming calls regarding customer orders
· Maintain reception area
· Manage visitor sign-in area
4) Billing / Collections:
· Prepare customer invoices in support of shipping
· Manage mail stream for billing, invoices, and vendor communications
· Work with finance to coordinate all payment systems
· Run and manage collection report
5) Data Entry / Order Entry:
· Input customer purchase orders
· Maintain purchase order log
· Manage incoming orders and documentation packets
· Support Customer Service and Sales infrastructure in Customer Relationship Manager (CRM)
· Input company and contact data from sales leads
· Monitor and manage email and contact activities related to inputs
· Input sales orders
Purchasing Assistant:
· Prepare purchase requisitions and purchase orders
· Work with Materials Manager and other departments to expedite orders when received
· Manage vendor billing and invoice for payment
· Provide shipping verification and tracking information to associated departments
· Maintain office supplies
Job Types: Full-time, Part-time
Pay: $20.00 - $22.00 per hour
Expected hours: 35 – 40 per week
Schedule:

Experience:
- Microsoft Office: 5 years (Required)
- Administrative experience: 5 years (Required)
