  • Eye Thrive is a locally recognized 501c3 nonprofit that empowers children to pursue their full potential by delivering essential eyecare across the St. Louis region.
  • Each school year Eye Thrive provides 14,000 vision screenings, 5,000 comprehensive eye exams, 7,000 prescription glasses, 2,000 replacement glasses, and 200 follow-up care referrals, all completely free of charge. 
  • Eye Thrive is positioned to double our capacity with a second Mobile Vision Clinic in 2025 allowing us to double our impact on the lives of kids in St. Louis.

 

Job Overview

The Operations Coordinator is an integral part of the Eye Thrive team. They will play a critical role in day-to-day effectiveness of Eye Thrive, including Mobile Vision Clinic operations and building relationships with our children, families, and community based on compassion and respect. They will play a collaborative role in developing and implementing systems that increase the effectiveness and efficiency of our work to support our ability to grow and expand. The Operations Coordinator will problem solve, clearly communicate to multiple audiences, and advocate on behalf of our children and families.

 

Job Type

  • Permanent; Full Time; Non-Exempt.
  • 40 hours/week; Monday-Friday 8 AM-4:30 PM.
  • Reports to Director of Operations.
  • Participation in morning/evening meetings and special events will be required as needed.


Essential Duties and Responsibilities

  • Mobile Vision Clinic (MVC) Efficiency
    • Performs optical pretesting and accurately records patient information in the Electronic Medical Records (EMR) system.  
    • Proactively assists optometrists as needed. 
    • Recognizes moments and stories of success. Captures student stories with high-quality photos and videos. 
    • Anticipates and troubleshoots roadblocks as needed. 
    • Rides on-board the MVC to and from site location and leads site set-up and tear-down 4 days/week. 
    • Engages in positive interactions with children and family members. Builds relationships with families based on compassion and respect.
  • Coordination of Closed Community Visits
    • Plans and manages logistics for closed community MVC visits during the summer and school year. 
    • Coordinates with site contacts to finalize logistics for visit. 
    • Oversee the flow of students to ensure a smooth and efficient process. 
    • Collects consent forms and finalized for day of visit.
    • Fosters and maintains positive relationships with school site contacts. 
    • Ensures Eye Thrive surveys are collected and completed.
  • Post-Mobile Vision Clinic Visits
    • Responsible for MVC program supplies such as cleaning supplies, program paperwork, children’s books and activities.
    • Assists with the restocking of inventory such as frames and lenses on the MVC.
    • Maintains internal appearance of MVC including décor and overall environment.
    • Leads the operations team in the cleaning of the inside of the MVC two times per week including: unloading all equipment and supplies, wiping down surfaces, vacuuming, and mopping the floors.
  • General
    • Emails weekly MVC and volunteer schedule to staff each Friday. 
    • Responds and records all inquiries from caregivers that have questions about community visits. 
    • Collaborates with team members to increase efficiency of programming by refining protocols and procedures. 
    • Manages and organizes operations inventory and updates records as needed. 
    • Partners with leadership to implement strategic plan and support growth. 
    • Manages and updates Click-Up platform for improved team communication and activity tracking.
  • Additional Responsibilities
    • Supports and participates in Eye Thrive special events.
    • Perform other duties as assigned by the Director of Operations and CEO.

    • Bachelor’s degree required.
    • Non-profit experience preferred.
    • Proficient skill level with Microsoft Office applications.
    • Proficient skill level with Google Documents, Sheets, and Calendar.

 

Physical Requirements and Working Conditions

Physical Demands

    • Must be able to lift and carry 25 pounds on occasion when support Eye Thrive visits and/or events during set-up and tear-down.
    • Ability to move up and down stairwells.

Work Environment

    • Works at a shared workspace office at Eye Thrive headquarters at the Delmar DivINe and at Eye Thrive’s warehouse in Maryland Heights.
    • Occasionally travels to Mobile Vision Clinic at various schools and community centers throughout Greater St. Louis.
