POSITION SUMMARY
The Patient Services Representative Float is responsible for handling various front-office tasks, including check-in, check-out, time-of-service collections, appointment reconciliation, and basic pre-authorization duties. The role requires flexibility to adapt to different areas within the practice as needed, including vacation coverage, as well as planned and unplanned absences. The Patient Services Representative Float ensures consistent support and guidance to patients, office staff, and physicians, while upholding the practice's standards of professionalism and courtesy. This position requires delivering excellent patient service while also contributing to a positive and efficient practice environment.
PRIMARY RESPONSIBILITIES
- Greets each patient as they enter the practice in a professional, caring manner and is warm in welcoming patients and vendors.
- Performs patient check-in/check-out process with all patients. Reviews patient chart to determine what registration information is needed from the patient at time of check-in. Ensures patient records are accurate and up-to-date including patient name, address, date of injury, payer information, etc. by verifying existing information or entering updated data into the computer system.
- Schedules and reschedules office and surgery appointments as necessary.
- Address basic billing questions and redirect as appropriate.
- Collects copays and outstanding balances at the time of service. Secures a Credit Card on file for all patients. Performs daily payment reconciliation.
- Performs appointment reconciliation at the end of the day.
- Answers incoming internal and external calls.
- Utilizes electronic health record for messaging to/from clinical staff.
- Enters patient information into practice management system from faxed referrals, phone or email and schedules appointments per clinical protocol.
- Confirms pre-authorization is on file prior to patient’s arrival when required by insurance.
- Manages incoming faxes and other documents including but not limited to disability forms, referrals, and medical record requests.
- Scans medical documentation and other required documents into electronic health record or other document imaging system(s).
- Performs insurance verification as appropriate to ensure accurate billing to appropriate insurance for patient encounter(s).
- Maintains open communication with clinical staff to minimize interruptions to the providers’ schedules.
- Attends meetings, as assigned, and participates in educational activities to keep skills up to date.
- Upholds EMG policies, processes and procedures

- Performs other duties necessary to maintain the overall efficiency and continuity of the clinic.
- Is proactive in identifying, reporting and participating in the resolution of any potential or actual patient safety issues.
- May be required to rotate working at our Portland and Saco offices.
WORK ENVIRONMENT
- Daily operation of various office equipment: fax machine, telephone & voice mail operating system, stationary/laptop computer, e-mail system, copier.
- Required to sit or stand for extended periods of time.

QUALIFICATIONS
- High school graduate or high school equivalency credential.
- Must have at least 2 years of relevant medical office experience
- Excellent communication and interpersonal skills, with the ability to interact with all internal and external customers in a professional and caring manner.
- Ability to make well-reasoned decisions, both independently and as part of a team.
- Proficient computer skills including Microsoft Office and email.
- Maintains patient confidentiality per state and federal and company regulations.
- Ability to read, understand and follow oral and written instructions
- Excellent communication and interpersonal skills necessary for interacting with patients, physicians, supervisors, and other staff.
- Ability to project and maintain a professional image.
- Ability to work independently and excel as part of a team.
- Excellent customer service skills.

Job Type: Full-time
Pay: $21.96 - $25.00 per hour
