POSITION PURPOSE
The front staff administrator is responsible for working as a team to answer phones, check patients in and out, do treatment planning with the patients and help with scheduling.
WORKING CONDITIONS/ PHYSICAL REQUIREMENTS
- Sitting 80%.
- Standing or walking 20%.
- Moderate noise levels from dental and other lab equipment.
- Medical, office, and lab setting.
- Exceptional hand dexterity and typing skills to work with standard software programs provided.
- Good mathematical aptitude to prepare and interpret financial reports, collect and track payments and account balances, and maintain financial integrity for the practice.
- Near Visionthe ability to see details at close range (within a few feet of the observer) as required for computer data entry and the preparation of treatment plans.
- Our office is open on an average of two Saturdays a month. Employee must be able to work Saturdays, if scheduled.
POSITION RESPONSIBILITIES
- Excellent computer skills and ability to use practice software systems.
- Scanning checks into Cash Pro each evening and printing out reports.
- Check the fax each day. Print out any fax and give it to the appropriate recipient directly.
- Check the office email daily and respond appropriately when needed
- Check the text messages daily and respond accordingly
- Scheduling and managing Facility Patients- booking/billing/preparations
- Scheduling and managing VA patients and claims
- Sending out information for insurance verifications. Assuring insurance verifications have been sent to each patient, when applicable.
- Checking insurance verification information received and applying that information to accurately figure out the patient responsibilities
- Responding to insurance verification emails from the verification team and/or contacting the patients to get the corrected information if needed
- Preparation of treatment plans for patients and presentation of those plans
- Taking office calls, scheduling patients, taking payments, answering billing questions, processing patient receipts
- Post-op care calls
- Referral letters and distribution
- Going through the upcoming schedule to ensure appointments are scheduled appropriately, with deposits, referrals scanned in.
- Scheduling and Organization of DAC patients
- Calling patients with balances to remind them that we do require payments monthly
- Assisting with the end of day financials to be completed the end of each business day
- Checking emails and responding within 24 hours
- Checking and distributing mail as needed
- Insurance completed: Call, mail and email patients
- Actively pursues the provision of excellent patient service
- Must always represent the practice in a professional, pleasant, and cooperative manner
- Must be able to comfortably and efficiently handle multiple deadlines and task assignments
- Must be able to work both independently and cooperatively in team settings

Occasionally there may be some travel, by car or plane, required in order to participate in continuing
education or seminars - Helping the doctor complete DDS letters
- May be required to train and supervise others on the administrative team
- Must be willing to complete assigned courses/training
- Also helping the back staff as needed
- Other duties and tasks, as assigned periodically
MINIMUM QUALIFICATIONS
- Always maintain the highest level of confidentiality to HIPAA standards.
- Must be comfortable seeing patients and able to maintain a professional demeanor and attitude.
- Must be detail oriented to maintain good financial practices, account balances, and financial reporting.
- Must show up to work on time daily. If assigned the opener for that day, must arrive 30 minutes before the first patient is scheduled. If not the scheduled opener, must arrive at least 15 minutes before the first patient is scheduled.
- Must be flexible and understand that job duties may change from time to time and that this individual may be asked to assist in other areas of the office.
- Must demonstrate active listening by giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
