- Project Coordination & Documentation
- Collaborate with Project Managers to track project progress, key milestones, and critical deadlines.
- Maintain comprehensive project documentation including contracts, submittals, RFIs, meeting notes, change orders, and closeout materials.
- Create and manage job folders with all necessary documentation for Project Managers and installers.
- Maintain logs for submittals, RFIs, change orders, and work in progress (WIP) schedules.
- Review budget costs.
- Assist in preparing and submitting material release forms and submittal packages.
- Coordinate with the warehouse to schedule material deliveries and address delays or discrepancies.
- Track incoming and returned materials; update material logs accordingly.
- Ensure materials match specifications (color, pattern, type) before delivery to job sites.
- Coordinate installation schedules with Project Managers and Installers.
- Distribute weekly schedule updates and key dates to internal stakeholders.
- Schedule and confirm turnover meetings, site walks, and client check-ins.
- Serve as a central point of contact between internal teams, subcontractors, and clients.
- Communicate project updates, delivery confirmations, and schedule changes promptly.
- Monitor and follow up on outstanding RFIs, documentation, and subcontractor deliverables.
- Collect, organize, and verify installer timesheets, work orders, and invoices for payroll processing.
- Support billing processes by preparing SOVs, backup documentation, and monthly billing packages.
- Document and submit all approved change orders and maintain accurate tracking logs.
- Track and file site documentation including daily reports, patch sheets, and punch lists.
- Ensure all quality control paperwork is submitted accurately and on time.
- Maintain issue logs to track any site-related concerns or deviations.
- Assist with the preparation of closeout packages, including final documentation and billing.
- Verify that all project requirements have been fulfilled, including punch list completion and material returns.
- Archive project documents in accordance with company procedures.
- Excellent written and verbal skills
- Strong organizational skills with attention to detail
- Proficient in Microsoft Office Suite and project management software
- Familiarity with contactor accounting systems (e.g., CMIC)
- Ability to lead, collaborate, and work independently in a team environment
- Bachelor’s degree in Construction Management or a related field preferred
- Minimum of three (3) years’ experience in the construction or flooring industry
- Equivalent work experience may be considered in lieu of a degree
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at a time
- Ability to pass a Fit for Duty Screening
