Position Description & Standards
Position Title: Office Manager/Bookkeeper
Responsible To: President
Position Summary: This position is responsible for handling specific clerical duties of the office including answering the telephone, as well as assisting with the monthly billing, payroll & accounts payable functions. The Office Manager/Bookkeeper, being the first impression of the office, shall be expected to dress professionally and always conduct themselves in a helpful and mature manner.
Principle Responsibilities:
- Answer telephones, screen calls, and take messages.
- Prepare outgoing mail and open that which is received daily, distributing appropriately.
- Make accurate bank deposits daily and post payments to their proper accounts.
- Perform all filing as needed and keep all files up to date and neat.
- Perform all payroll functions for non-executive staff, including calculating timecards and mileage, verifying entered employee hours, and mailing paychecks.
- Prepare and send memos to employees regarding company meetings, benefits, holiday schedules, etc.
- Conduct the semi-monthly billing, as well as all additional service invoicing, and distribute to customers via mail or email.
- Perform regular follow-up with past-due customers to minimize outstanding payments.
- Verify all pricing on invoices received from vendors and note any discrepancies, enter billing, and mail accounts payable payments to respective vendors.
- Perform other specific duties from time to time as directed by your Immediate Supervisor.
Qualifications
- High school diploma, GED, or equivalent
- Ability to work in the morning to early afternoon preferred
- Prior experience in a front desk position preferred
- Clear & neat penmanship
- Willingness to go through a background check
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- English speaking, bilingual Spanish speaking is a plus
- Accounting knowledge not required, but is a plus
Job Type: Part-time
Pay: $24.00 - $27.00 per hour
