About the Role :
We are seeking a proactive and driven Project Coordinator / Administrative Assistant to join our team. In this multifaceted role, you will play a pivotal role in supporting our office's administrative functions while also assisting with project coordination. You will serve as a central point of contact for both internal teams and external parties, ensuring effective communication and collaboration and helping to facilitate smooth workflows. The ideal candidate will be possess exceptional organizational skills and a proactive, creative, and adaptable approach to meet deadlines and ensure smooth daily operations.
Responsibilities :
- Support Project Managers on administrative aspects of technical projects such as maintaining project contracts, gathering project specific information and paperwork, performing data entry, assisting with project invoicing, etc.
- Pick up or drop off supplies, lab samples or items requested by the technical team
- Coordinating maintenance of office space and equipment – track and schedule equipment calibration and repairs as needed
- Maintain inventory and organization of office supplies, warehouse items, and equipment
- Create and maintain purchase orders for any supplies or items ordered
- Answer all incoming phone calls and accurately answer general questions regarding company services, forwarding calls to the appropriate personnel
- Prepare for meetings – organizing conference rooms, ordering food, setting up projector and laptop, and gather and setting up supplies needed
- Plan events for the office such as employee recognition events, annual holiday parties, happy hours, etc.
- Manage and schedule employee certifications, trainings, and annual medical evaluations
- Prepare and send packages and envelopes for US mail, Fed Ex or UPS
- Book hotel and travel reservations for employees for projects and events
