Position Summary

The Assistant Director of Human Resources will provide administrative support to the Director of Human Resources, including assisting with and facilitating the human resource processes, including recruitment, orientation, training, evaluation coordination, employee relations, and processing grievances by union-represented employees to ensure that FSA Human Resources policies and procedures adhere. This role also provides administrative support to the Director of Human Resources, including record retention, compliance, and HRIS entry at the Stony Brook University Hospital (SBUH). The Assistant Director of Human Resources assists the Director of Human Resources, Director of Dietary & Retail at SBUH, Executive Director, and Legal Consultant in negotiations and the administration of the collective bargaining agreements (CBAs), internal investigations, managing challenging personnel matters, and policy development and administration. This position will supervise the Administrative Assistant and work with SBUH Senior Leadership staff to provide human resource support as required.

The Assistant Director of Human Resources will regularly interact with and assist the Director of Human Resources, the Director of Dietary & Retail at SBUH, and the Faculty Student Association Executive Director at Stony Brook University. In addition, the Assistant Director of Human Resources will assist in managing employee progressive discipline, workplace law compliance, and any policy and procedure changes according to state and federal laws.

Position Details:

Salary: 90,000.00 - $97,000.00 per year

FLSA: Exempt

Schedule: Full-time: Generally, Monday – Friday day shift

Required Qualifications:

· A bachelor's degree in Human Resources Management is required.

· 5 to 7 years of progressively responsible human resources experience within a Healthcare setting, including at least 3 years of experience working with a unionized workforce (specifically a workforce represented by SEIU 1199) in a mid-size (200-700 employees) organization.

· 5 years experience working as a Human Resources professional

· Ability to work with a high degree of integrity, sound professional judgment, and the ability to professionally and appropriately manage confidential and sensitive information.

· Ability to follow oral and written instructions and assume responsibility with general guidelines and direction

· Ability to communicate effectively

· Possess strong time management skills.

· Ability to effectively, professionally, and respectfully communicate with employees, peers, management, adversaries, union representatives, advisors, community, and professional leaders.

· Ability to work with diverse audiences and facilitate and maintain cultural sensitivity.

· Proficiency with Windows-based software, including the Internet, Teams, Google Drive, Calendar, and Microsoft Office Suite, including Word, PowerPoint, Outlook, and Excel.

· Detail oriented

· Independently takes the initiative and ownership of assigned projects and can see projects to completion with minimal but appropriate oversight.

· Ability to meet travel requirements associated with this position.

· Ability to work flexible hours, including evenings and weekends, as appropriate.

Preferred Qualifications:

· Master's Degree in Business Management – concentration in Human Resources

· Human Resource Information Systems (Data entry, report generation)

Responsibilities/Essential Functions:

· Hire, train, manage, and evaluate the performance of the Human Resource Administrative Assistant at SBUH and others as assigned.

· Accurately conduct quarterly assessments and performance evaluations that are timely and constructive for HR Administrative Assistant.

· Provide Administrative Assistant with effective and thorough guidance on recruitment, onboarding, orientation, and compliance.

· Create, run, and provide accurate, timely high-level reports from HRIS and Microsoft Excel as needed.

· Conducts accurate, timely audits of payroll, benefits, and other HR programs

· Effectively and professionally manage and administer employee corrective action in collaboration with other management.

· Timely and accurately monitor SBUH attendance tracking (maintained by HR Administrative Assistant)

· Maintain and develop accurate standard operating procedures for HR Administration functions to enhance internal operations and workflow.

· Act as the point of contact for union representatives and union-represented employees on all matters related to CBA administration, including grievance and arbitration processes. At all times, must communicate professionally and respectfully.

· Work effectively and professionally with the Director of Human Resources and the Director of Dietary & Retail at SBUH on employee relations matters.

· Well-versed in CBA administration and union issues, specifically related to SEIU 1199

· Must effectively and accurately follow progressive disciplinary processes and other processes under the CBA.

· In consultation with the Director of Human Resources, provide appropriate and accurate advice and counsel the management team on personnel actions, including promotions, termination practices, and decisions.

· Contribute to and facilitate a positive, respectful, professional, collaborative work environment.

· Ensure legal compliance with human resources, workplace, and workforce federal and state statutes and regulations, including any required reporting.

· Coordinate internal meetings, employee events, and special projects as assigned.

· Lead by example, a system that models the highest level of integrity, confidentiality, and expertise.

· Ensure that human resources functions are aligned with the mission of the Faculty Student Association.

· Effectively and timely respond to employee compensation and payroll questions and resolve issues through the Payroll HRIS Manager.

· Monitor and generate reports on accidents, trends, and improvements as requested. Report, process, and file all accident and incident reports.

· Communicates all accident reporting and ensures investigations follow each incident. Ensure compliance with all OSHA and workers' compensation rules and processes.

· Monitor personnel files – ensure they are always compliant.

· Produce and distribute monthly compliance notifications for evaluations, certifications, and vaccinations.

· Other duties as assigned
