M Health Fairview Rehabilitation Services is seeking a rehab staffing coordinator to join our outpatient rehab staffing team!
Critical for success, this job requires the ability to handle multiple, conflicting priorities and the ability to multi-task, organize work and communicate in a clear and open style. Preferred candidate will have demonstrated experience successfully problem-solving issues in a dynamic environment, while working independently. Ideal and successful candidates will have high attention to detail, strong organizational skills, ability to remain calm under pressure, and confidence making decisions independently.
- FTE 0.90, authorized to work 72 hours per pay period.

M Health Fairview Rehabilitation offers a broad range of services that serve patients across 10 acute-care hospitals, 3 post-acute settings and 70 outpatient adult and pediatric therapy clinics. Responsibilities Job Description
The rehab staffing coordinator will manage daily, and long-term staffing, for rehab teams using staffing software and communication technology.
Handle day-to-day staffing needs and divert staff based on patient volumes.
Manage and process all staffing requests for time off, including but not limited to, volume requests, open positions, LOA’s, etc. based on established policies and procedures.
Build and coordinate weekend rotation for all sites for Physical Therapy, Occupational Therapy, Speech Language Pathology, Support Staff and Cardiac Rehab.
Track and provide appropriate staffing information, as requested by managers and directors, which details staffing profiles, trends and needs; and determine effective and efficient utilization of staff.
Process all staffing - including trades, new hires, LOAs, template updates, open positions, etc.
Assign flexible work force, based on staffing guidelines, and site needs for daily staffing to volume.
Create and update core staffing template in conjunctions with supervisors for all disciplines.
Understand staffing system and how it is used to build monthly staff schedules timely, and accurately, for all service lines, at all sites.
Accurately input and update staffing system with long-term and day-to-day staffing changes.
Update staffing forms based on changes in the staffing office.
Create, update and direct bidding time-off process.
Process all bidding requests and update the staffing system.
Effectively communicate, both verbally and non-verbally, with all managers, supervisors/seniors and staff to ensure that departmental staffing needs and expectations are met.
Effectively and timely communicates with staff who request time to give them information about coverage.
Communicate optimally and timely via email, and phone calls, to recruit for coverage of all time-off requests.
Connect and communicate with staff about their time off.
Facilitate monthly, site staffing meetings at all sites for staffing changes and problem-solving issues.
Responsible for communicating to site schedulers, and supervisors, appropriateness of coverage for specialty caseloads.
Work collaboratively with director to provide input about staffing needs for system resources for all disciplines, including weekly schedule.
