About us
We are a (4 year old) physical therapy and sports performance clinic in Hurricane WV. We are growing and looking for an office manager to help with day to day operations. We work with active adults and youth athletes and provide a fun and flexible work environment.
Our goal is to continue adding clinical staff members, various wellness services, and grow into a larger facility in the next few years.
The position schedule is semi flexible with M-TH in office hours and fridays being a remote option. Fridays remote work will mainly consist of data entry and reporting weekly metrics to supervisor as well as taking call as needed. This position is a yearly salary.

Sales & Marketing
- Make sure all referrals are being scheduled ASAP
- Follow New Patient Enrollment Training
- Pre Book Patient visits as indicated.
- Monitor and Track all Leads and Referrals Coming into the Office
- Build/retain professional referral relationships
- Make sure Active Patient Reporting and Wellness Checks are being performed.
- Engage physicians and referral coordinators in external primary relationship-building interactions including Reverse Referrals, Surgical Observations, In-clinic Shadowing, Return Patient Visits and Empower University Events.
Financials
- Review Monthly, Quarterly, and Yearly Financials
- Set Financial Targets with Owner and Clinic Director
- Manage Department Budget and Use Operational Resource
- Determine Productivity Goals and Standards
- Monitor Over the-Counter Collections
- Balance the Cash Drawer each day
Metric Tracking & Reporting
- Track and Monitor Designated KPIs on a Weekly, Monthly, Quarterly, and Annual Basis.
- A baseline measure of tracking will be important to determine what areas of the business need to be improved.
- Coordinate with C.O.O. and/or the Owner to determine metrics to be tracked and reported.
- The overall Goal is to Achieve > 85% Clinic Efficiency
- 100% Schedule Efficiency Each Week
- > 90% Arrival Rate
Communication and Planning
Make sure the clinic staff submits and performs the following each week:
- Patient Visit Reminder Calls
- Weekly Agenda Issues and To Dos
- Active Patient Reporting Review from Providers
- Weekly Wellness Checks
- ScoreCards
- Weekly Wrap Up
