Administrative Support Staff / Front Office & Data Entry Specialist
The Fall River Deaconess Home is a private, non-profit, community-based agency that serves youth and their families. We provide a comprehensive range of in-home, residential, educational, clinical, medical, and supportive services within a trauma-informed environment, enriching the lives of youth from Massachusetts, Rhode Island, and Vermont.
Job Profile;
The Administrative Support Staff / Front Office & Data Entry Specialist serves as the first point of contact for clients, families, visitors, and employees entering the administrative office, embodying the role of the “face” of the agency. This individual is responsible for maintaining an efficient, professional, positive, and welcoming office environment. The same standard applies to handling incoming calls, communications, and responding to information requests.
The Successful Candidate will:
- Enter programmatic and agency information into databases, ensuring data accuracy and accessibility.
- Create, update, and distribute forms and reports to support program operations.
- Provide administrative support to the restraint committee, including documentation and meeting coordination.
- Assist other administrative staff with various tasks as needed to ensure smooth office operations.
- Order and maintain office supplies to support daily functions.
- Create and track employee ID cards, maintaining accurate records.
- Perform other administrative duties as assigned, demonstrating flexibility and attention to detail.
- Responsible for answer phone and directing calls
- Demonstrate strong organizational skills and the ability to handle multiple tasks efficiently.
Qualifications:
- Preferred experience working in a similar agency within the Human Services field.
- Strong oral and written communication skills.
- Proficiency in computer skills, including the MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to organize, prioritize, and manage multiple tasks efficiently.
- Excellent interpersonal skills, with the ability to work collaboratively with diverse individuals both within and outside the organization.
