Position Summary :
We are seeking a dynamic and detail-oriented Office Coordinator to join our team. This role is pivotal in creating a positive and welcoming environment for all guests, clients, vendors, and staff. As the first point of contact, you will provide exceptional customer service, manage day-to-day office operations, and ensure smooth communication across the organization. The Office Coordinator also serves as an essential support to the Human Resources department and contributes to the overall efficiency of the agency.
Key Responsibilities :
- Open and close the office daily.
- Maintain public spaces, ensuring they are well-stocked and organized (conference rooms, kitchens, supply rooms, etc.).
- Coordinate building-related services, including cleaning and maintenance.
- Manage inventory and distribute supplies across all offices.
- Handle incoming and outgoing mail, including FedEx and other deliveries.
- Balance the cash drawer and collect / receipt co-pays and client fees.
- Maintain clinicians’ schedules, including preparing daily schedules and making appointment reminder calls.
- Conduct monthly safety inspections and submit documentation.
- Schedule office space and maintain common room calendars.
- Process new client paperwork and assist with the onboarding process for new staff.
- Train backup staff on Office Coordinator responsibilities.
- Provide administrative support to the Executive and Development teams.
- Answer and process incoming PEP Intake Calls and Forms.
- Order food, flowers, or fruit baskets for meetings and events as directed.
