FSLA Status: Exempt

Hours Per Week: 40 (full time)

Work Days: Monday – Friday, 9:00am – 5:00pm

Compensation: $15.00 - $17.00/hour, periodic reviews, benefits eligibility (health insurance, dental and vision insurance, supplemental insurance, group life insurance, long-term disability insurance), 401(k), paid holidays and generous paid-time off policy.

Position Summary:

Our new team member must excel in providing exceptional customer service, as they will be the primary point of contact for the law firm. As such, the successful candidate must enjoy communicating with clients in-person, by telephone, and in writing. The Client Services Coordinator must be able to work independently to schedule client meetings, manage attorney calendars, ensure the timely progression of client matters through law firm processes, and make certain that prospective and existing clients’ experiences exceed expectations to enhance the law firm’s reputation in the community. In addition, the CSS will provide administrative support, including filing, scanning, managing law firm correspondence, and using software to assist with invoicing and file management.

Qualifications:

- Strong client services background, with an emphasis on organization, initiative and attention to detail, and something we call Woo!

- Ability to accomplish requirements of position in high volume work environment requiring excellent time management and muti-tasking skills.

- Excellent written and verbal communication skills.

- Ability to perform moderate document management with a working knowledge of various software packages such as Word, Excel, Adobe Acrobat, Jotforms, Outlook, Microsoft Teams, Zoom etc.

- Must be able to operate and troubleshoot fax machines, copiers and other basic office equipment.

- Exhibit a willingness to be flexible to meet client’s needs.

- Willingness and ability to travel to client locations, when required (minimal)

- Ability to keep updated on new developments in the field of client services.

- High School Diploma or GED

Duties and Responsibilities

- Answering, screening, directing and placing telephone calls and directing clients, lawyers, staff and visitors to appropriate destinations.

- Onboarding new clients and managing accounts and ensuring client information is up-to-date.

- Monitoring customer feedback and creating reports on customer service metrics

- Maintaining a hospitality/concierge style level of service in the office in order to assist with clients, lawyers, staff and visitor needs.

- Scheduling meetings and conference rooms including coordinating catering, room set up and audio-visual equipment needs.

- Responding to all requests in an accurate and timely manner.

- Assisting clients, lawyers, staff and visitors with requests for special arrangements or services, including transportation, restaurant, travel and lodging.

- Keeping front of office and surrounding area in a neat and orderly condition.

- Assisting firm staff with sundry duties at desk as needed.

- Assisting with administrative support for lawyers as necessary, including arranging meetings, opening and sorting mail, handling mass mailings, preparing file folders, photocopying and scanning, scheduling appointments and meetings and making travel arrangements.

- Spearheading our Maintenance Program for client support and retention.

- Proactively providing timely feedback to management on any issues that affect office support needs or conference rooms.

- Maintaining client confidentiality with regards to clients, firm interests and employees.

- Handling and/or participating in special projects as necessary.

- Participating in meetings as required.

- Timely and regular attendance.

- Performs other duties as assigned.
