We're seeking a highly organized and experienced Executive Assistant to join our collaborative team and provide essential support to our CEO. This role requires a strong team player who can seamlessly integrate into our dynamic environment and contribute to the smooth operation of the CEO's office.
- Summary : Provides high-level administrative support to the CEO, anticipating needs, proactively managing priorities, managing complex calendars, arranging travel, and ensuring smooth daily operations. This is an in-office position, 5 days a week, located in Itasca, IL.
- Responsibilities :
- Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and conference calls across multiple time zones.
- Proactively identify and address potential challenges or roadblocks in the CEO's schedule.
- Conduct research and prepare briefings on relevant industry trends and competitive landscapes.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Prepare expense reports for the CEO, CFO, and COO.
- Manage and prioritize email correspondence, ensuring timely responses.
- Assist with the planning and coordination of company events, including the IAAPA Expo and annual GM Management conference.
- Create presentations and develop PowerPoint templates.
- Provide limited support for personal appointments and errands as needed.
- Maintain confidentiality and discretion in all matters.
- Qualifications :
- Bachelor's degree preferred.
- 5 years of experience supporting a C-level executive.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, particularly PowerPoint.
- Ability to learn and adapt to new software and technologies.
- Experience with Google Workspace is a plus.
