The Program Assistant performs administrative functions and intake that support program enrollment and capacity. Ensures participants are enrolled in appropriate programs. Reading, writing, and speaking in English and Spanish is important for maintaining accurate records, as well as engaging current and potential participants.
Duties include, but are not limited to:
- Create, maintain, and organize the intake database.
- Greet all participants at the center in Spanish or English, and provide program information.
- Maintain conference room schedules and create and update center events calendar .
- Order office and kitchen supplies.
- Provide monthly participant sign-in sheets to the Assistant Center Director (ACD).
- Assist to ACD with Family Focus Advisory Board meetings (room setup, food orders, agendas)
- Intake Duties: Refer existing and new participants for internal and external services and conduct intake assessments for new participants. Process ESL registration applications
- Field phone calls, connect with appropriate in-house programs, provide external referrals to resources in the community, and forward new submission requests to the appropriate program
- Keep updated about all Family Focus Aurora programs to support each program effectively.
- Schedule appointments for Immigration, IWC & IFRP programs
- I-90 Intake (Permanent Resident Renew)
- Conduct IFRP/IWC intakes
The ideal candidate will have the following education and experience:
- High School Diploma
- Demonstrated ability to speak and write in English and Spanish fluently
- Ability to interpret Family Focus programs to parents and the community
- Clerical Skills: Demonstrated ability to use Microsoft Word, Excel, Access, and email
- Ability to work effectively with infants, children, adolescents and adults
- Ability to be flexible and multi-task several things all at the same time if needed.
This is a part-time non-exempt position.
Hourly range: $18-20/hour
Schedule: 30 hours per week - Monday thru Friday 9 am to 3 pm
