POSITION SUMMARY

As the Administrative Assistant, your primary responsibility will be to provide administrative support to the Chief Executive Officer and Executive Leadership Team to optimize departmental operations and organizational efficiencies.
This position reports directly to the Chief Executive Officer and works closely with the Executive Leadership Team to provide service, guidance, and access to resources.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
· Supports and adheres to the Organization’s Mission, Vision, and Values.
· Serves as the initial point of contact at the FHC Administrative Office, answering phone calls and directing callers to appropriate personnel or locations.
· Greets visitors at the FHC Administrative Office in a professional, welcoming environment.
· Organizes and coordinates meetings, conferences, schedules, room reservations, and travel arrangements for the organization.
· Schedules and maintains calendar appointments and meetings for Executive Leadership Team.
· Assists in policy development and maintains the policy management software for all organizational policies.
· Orders and maintains inventory of supplies for administration.
· Performs administrative duties including correspondence, preparation of agendas and recording of minutes as needed. Meetings may include Board of Director meetings and committees, leadership meetings, and other committees.
· Communicates with the Health Center Board of Directors and Advisory Council as needed.
· Assists Executive Assistant in maintaining Federal and State records (physical and electronic) for HRSA, DMHA, and TJC.
· Assists Human Resources department in scheduling nursing students, utilizing My Clinical Exchange for file management.
· Creates weekly and monthly reports as needed by CEO and Executive Leadership Team.
· Uses oral and written communication skills to effectively convey ideas in a clear, positive manner that is consistent with the Health Center’s Mission.
· Represent FHC in community events as needed.
· Performs other duties, which may be assigned by the CEO.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
· This position requires a high degree of communication and attention to detail.
· Strong written communication: ability to write clear, structured, and articulate reports.
· Proficient in spelling, grammar, punctuation, and other language skills.
· Proficient in software applications and administrative and clerical procedures.
· Ability to handle multiple assignments and meet deadlines.
· Ability to take initiative and work independently.
· Strong contributor in team environment who is able to work in true collaboration with other individuals in the organization.
· Minimum of High School Diploma with five years of administrative experience. Associate’s degree with two years of experience is preferred. Experience in healthcare is preferred.
