Position Responsibilities
Accounts Payable
- Code and process vendor and internal payment requests, especially for rental assistance and client-related services.
- Ensure all payments meet documentation, approval, and compliance requirements.
- Reconcile vendor statements and resolve discrepancies promptly.
- Maintain accurate records and assist with internal financial reports and audits.
- Liaise with landlords, case managers, and other staff to ensure clarity and responsiveness in the payment process.
Accounts Receivable
- Prepare and submit reimbursement requests for grants, contracts, and other funding sources.
- Track outstanding receivables and follow up to ensure timely collection.
- Work with funders to resolve discrepancies in billed requests and revise submissions as necessary.
- Maintain accurate records of all incoming funds and support month-end reconciliation.
Grant Compliance & Financial Stewardship
- Ensure all expenditures and reimbursements align with grant purposes and allowable costs.
- Track funding allocations and prevent over/underspending on awarded resources.
- Follow federal, state, and local compliance standards.
- Support reporting for grants, audits, donors, and leadership.
Cross-Team Collaboration & Process Improvement
- Collaborate across departments, especially with case management and program leaders, to ensure timely, accurate financial workflows.
- Align expenses with funding source requirements and improve operational efficiency.
- Provide insights to support budgeting, forecasting, and financial decision-making.
- Engage in ongoing refinement of finance team tools and processes.
Qualifications & Skills
Required:
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field.
- 2 years of experience in accounts payable, receivable, or similar financial roles.
- Proficiency in QuickBooks and Google Suite (Sheets, Docs, Calendar).
- Comfortable working across multiple platforms and software systems.
- Exceptional attention to detail and ability to manage time-sensitive tasks.
- Clear and compassionate communicator (written and verbal).
- Flexible and adaptable with strong multitasking ability in a dynamic team setting.
Preferred:
- Experience with grant billing or nonprofit financial operations.
- Familiarity with landlord/vendor relations and rental assistance programs.
- Working knowledge of federal grant compliance requirements (e.g., COC, CHG, HUD).

- This position will be completed under the following conditions.
- Located on site at the Family Promise Administrative Offices (primarily indoors in an office and/or shelter environment)
- May be chaotic, busy and loud at times
- Use of cleaning chemicals
- Although this position has limited client interaction, client population may include persons involved in gangs, with substance abuse concerns, and homelessness
