Summary
As an Activities and Office Coordinator, you will be essential in ensuring smooth office operations and enhancing team productivity. Reporting to the CEO, your core skills in office functions will facilitate effective collaboration among staff. Your premium skills in event planning and schedule management will support the organization of various activities and seminars. Additionally, your relevant skills in client engagement and phone etiquette will help create a welcoming environment for clients and visitors.
Join our team to contribute to a well-organized and efficient workplace. We are expanding and adding services! The Activities and Office Coordinator will be a full time position to help us grow and assist with preventing social isolation.
1. Responsible for seeing that the site is clean, neat, and is a comfortable and safe environment.
2. Strong interpersonal and communication skills are essential for interacting with participants and staff. Ensure that course schedule changes are communicated to all interested parties. Communicates effectively with staff, seniors, and families, fostering a positive and supportive environment.
3. Ability to motivate and guide participants, as well as manage presenters and volunteers.
4. Develops, implements, and responsible for a diverse range of activities, events, and programs, considering the needs and interests of the participants. Willingness to adapt activities to meet the unique needs of participants.
5. Keeps records of activities, participant engagement, and any relevant information.
6. Recruit course instructors and coordinate with them in scheduling, logistics, promotion and attendee lists for courses.
7. Arrange advertisements for Senior Center programs and events, including writing a press release to the local media outlets and notifications on local community calendars regarding Senior Center activities.
8. Actively seek out and promote new ideas for enhancing the services the Senior Center provides and for improving the experience of Senior Center visitors.
9. Greet visitors and guests, describe on offered resources, and encourage participation in Senior Center activities.
10. Maintain communication with area senior organizations to keep abreast of local senior issues, resources and programs. Respond to inquiries regarding courses and events.
11. Direct seniors to appropriate community and governmental resources as warranted.
12. Creates and maintains a calendar of activities, manages budgets, and ensures activities are within allocated resources.
13. Cultivates relationship with referral sources in an effort to generate sponsorship/donations for planned activities.
14. Responsible for ensuring that the equipment on the site is operable and safe. Responsible for preparation and clean-up.
15. Prepare or assist with grant/contract billings and prepare required documentation as assigned.
16. Provide clerical support service such as typing, filing, storage and retrieval of agency records, invoices and documents. Assist in the preparation and analysis of financial data and reports as assigned.
17. Assist with the receipt, security and distribution of cash, cash bags, petty cash fund, checks, deposits, postage stamps, vouchers, or other items as requested.
18. Assist with receipt and distribution of mail as requested.
19. Attend training/meetings as required.
20. Other duties as assigned by the CEO.

Job Type: Full-time
Pay: $15.00 - $19.00 per hour
