HR Assistant
Summary of Position:
The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department. This position is the first point of contact in the Human Resources Department. The role provides direct administrative support to the Chief Human Resource Officer.
Salary: Full-Time, Regular, Non-Exempt eligible for benefits
Essential Job Duties:- Support the HR Department department by administering tests, scheduling appointments, conducting, and maintaining records and information.
- Assist the HR Department in processing new hires from start to finish including: scheduling for hiring process, welcoming and orienting new hires upon arrival, providing employee packets and explaining materials; and sending new hires for appropriate testing such as physical exams, drug testing, and live scan.
- Assist the HR Department in administrating and enrolling employee benefits.
- Maintain accurate and up-to-date employee information by entering and updating employment and status-change data.
- Provide secretarial support by sitting at the front desk, entering, formatting, and printing information, formatting business correspondence, making copies, collating documents, formatting or developing PowerPoint presentations, maintaining filing, scanning documents, etc.
- Organize a large quantity of paperwork, be highly efficient, and be able to multi-task.
- Answer the telephone in a professional manner, relay accurate and timely messages, and maintain equipment and supplies. Maintain employee confidence and protect operations by keeping human resource information confidential.
- Maintain quality service by adhering to organization standards.
- Administer written and clerical performance tests to applicants, when needed.
- Assist CHRO and HR Supervisor.
- Maintaining employee database and files so that they are up-to-date at all times.
- Process personnel status changes.
- Draft and process letters of hire for signature by HR Officer.
- Compile data and prepare routine and special reports, including but not limited to ethnicity, current FSA sites, employee census, pay rates, new hires and terminations, department rosters, and others as needed.
- Provide information to employees on procedures (according to employee manual) when requested.
- Provide general administrative support to the Chief Human Resource Officer.
- Refer inquiries to the appropriate HR person.
- Assist the HR Department in collating or coordinating job applicant materials, setting up new-hire orientation, opening new-hire files, closing terminated files, processing payroll action forms, etc.
- Assist in ensuring a smooth flow of internal forms and related paperwork.
- Health Benefits- send out packets and complete enrollments and terms for Health Benefits including health, dental, and vision.
- Punctual and Regular Attendance.
- Other related or reasonable duties as assigned and necessary.

- Excellent verbal and written communication, ability to write emails or other correspondence, and knowledge of business letter formatting.
- Ability to use all types of office equipment, including digital telephone equipment, Microsoft Office Suite, Excel, PowerPoint, various HRIS systems and databases, etc.
- High level of proficiency with the use of computers.
- Typing speed of at least 45 wpm (without errors).
- Bilingual (Spanish/English) preferred
- Experience in a high-functioning human resource department environment is strongly preferred
- Professional demeanor and appearance
- Emotional Intelligence when dealing with difficult employees or visitors
Minimum Qualifications:
- Associate’s Degree required. Bachelor’s degree preferred
- Be highly proficient in Microsoft Office Suites, including Excel, PowerPoint, Word, Outlook, etc.
- Able to type at least 45 WPM
- Experience in Human Resource Office is strongly preferred
- Background Fingerprint Clearance
- Drug Test Clearance
- Ability to read and write English and to communicate at the level required for successful job performance.
- ADP WFN Experience preferred
Licenses & Certifications:
- CA Driver’s License
- Current Automobile Insurance and current DMV printout report
Physical & Mental Demands:
- Ability to sit in front of computer for long periods of time.
- Ability to stay focused on task at hand with frequent interruptions. Office environment.
- Mandatory vaccination against COVID-19 required.
