Role Summary
Fanatics Collectibles is looking for a detail-oriented and proactive Office Manager to oversee daily office operations, ensuring a smooth, organized, and efficient environment at our South Florida office while serving as a key point of contact for multiple nationwide offices. This individual will play an essential role in managing office logistics, supporting staff, and organizing events, all while maintaining a professional and welcoming atmosphere for both internal and external teams.

In this role, you will…
- Act as the key liaison for on-site employees to ensure that their office needs are met and provide regular updates to leadership about employee inquiries
- Work closely with the administrative team leads and HR to support organizational objectives
- Establish, implement, and enforce Fanatics office policies and procedures to ensure compliance with company standards and promote a positive work culture
- Coordinate with IT on office technical needs and new hire office setup
- Assist with new hire onboarding
- Oversee the staff lunch delivery 3x a week
- Plan, manage logistics, and execute employee events that foster a positive work culture by working closely with the HR department
- Greet and follow proper check-in procedures with guests (external vendors, employees, clients), while maintaining safety/security protocols
- Manage the availability and booking of conference rooms
- Keep conference rooms refreshed, organized, and stocked with necessary supplies
- Oversee all office supply ordering and ensure that the office environment is fully stocked and organized
- Maintain a clean, organized, and efficient work environment
- Track and document office spending, providing detailed budget reports for office supplies and related expenses
- Collaborate with security and property management to ensure all safety protocols are up to date
- Stay updated on any changes to office regulations and procedures and communicate them to the team effectively
The ideal candidate:
- 3 years of experience in an office management or administrative support role, preferably in a fast-paced corporate environment
- Excellent verbal and written communication skills, with the ability to interact professionally with a diverse group of internal and external stakeholders
- Strong attention to detail and ability to prioritize multiple tasks in a busy office setting
- Proficiency in Microsoft Office Suite (especially Outlook) and experience with office management software/systems
- Ability to collaborate with office support staff to ensure smooth operations
- Strong ability to address and resolve office-related issues in a calm and efficient manner
- Ability to adapt to changing needs and work in a dynamic environment
