Job Description:
Farah & Farah, P.A. is seeking a reliable and detail-oriented Mail Services Clerk to join our team at our Downtown Jacksonville office. As a key member of our administrative support team, you will be responsible for managing the daily operations of our mail and courier services. The Mail Services Clerk ensures timely and accurate handling of incoming and outgoing mail, packages, and deliveries, contributing to the smooth functioning of the office and supporting our legal team in delivering top-tier client service.
Responsibilities:
- Sort, organize, and distribute incoming mail and packages to appropriate departments and individuals within the firm.
- Prepare and package outgoing mail, including legal documents, client correspondence, and packages for shipment.
- Process all incoming and outgoing mail via various carriers, including USPS, FedEx, UPS, and other courier services.
- Maintain accurate logs for packages, deliveries, and mail receipts.
- Ensure timely delivery of mail and packages within the office and to/from external locations.
- Coordinate with vendors for mail services, deliveries, and pick-ups, ensuring accurate tracking and prompt service.
- Assist in maintaining a clean, organized mailroom, and ensure proper storage of materials.
- Perform routine office supply inventory checks and notify the appropriate department when supplies need to be reordered.
- Provide additional administrative support as needed, such as photocopying, filing, and preparing documents.
- Assist with special projects or other tasks assigned by management.
Qualifications:
- High school diploma or equivalent required; additional administrative or office support training preferred.
- Previous experience in a mailroom or clerical role is a plus but not required.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Strong communication skills and ability to work well with internal staff and external vendors.
- Proficiency in using office equipment, including copiers, fax machines, and mailroom machinery.
- Ability to lift and carry packages up to 30 pounds.
- Professional demeanor and ability to handle confidential documents appropriately.
- Reliable, punctual, and capable of maintaining a consistent work schedule.
Schedule:
- Full-time, Monday through Friday
- Onsite at Downtown Jacksonville office
