Position Summary:
This full-time (40 hours per week, Monday-Friday) position requires a highly organized and detail-oriented tech-savvy individual to provide essential administrative support to both the Faribault Area Chamber of Commerce & Tourism and the Faribault Foundation. This dynamic role encompasses a diverse range of responsibilities, including member/donor contact, financial administration, event assistance, and general office support.

Key Responsibilities:
General Office Support:
- Answer phone calls, greet visitors, and provide general office assistance.
- Assist with making appointments and managing calendars
- Assist with correspondence in letters, emails and other formats.
- Manage incoming and outgoing mail and packages.
- Maintain office supplies and equipment.
- Assist with the preparation of meeting materials and presentations.
- Maintain a clean and organized office environment.
Financial Administration:
- Assist with financial record-keeping, including data entry, account reconciliation, and report preparation.
- Support the Foundation's grantmaking process, including application review, data entry, and reporting.
- Prepare and process financial transactions, including invoices, payments, and reimbursements
Member/Donor Relations:
- Develop professional relationships with Chamber members and Foundation donors.
- Identify and qualify potential new Chamber Members.
- Assist with member/donor recruitment and retention campaigns.
- Track and manage member/donor data in databases.
Event and Marketing Assistance:
- Under direction of lead staff, handle social media posts, website updates, media contacts and other marketing and promotional activities.
- Provide assistance to lead staff in the planning and execution of events, including networking events, workshops, and community celebrations.
- Assist in the coordinate event logistics, such as scheduling, venue arrangements, and materials preparation.
Other duties:
- Assuring a neat and clean environment for all visitors in the lobby, kitchenette, conference rooms and hallways.
- Due to ever changing strategies, changes or additions to the job description should be expected.
Qualifications:
- Bookkeeping knowledge (Preferably QuickBooks)
- Proven experience in administrative support, customer service, or a related field.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher).
- Excellent organizational, time-management, and communication skills (both written and verbal).
- Detail-oriented with a high degree of accuracy.
- Ability to work independently and as part of a team.
- Positive attitude, strong work ethic, and a commitment to providing excellent customer service.
- Competent in learning new software platforms (Foundant, Wix, and Chambermaster, Canva)
- Competent with social media and website posting
- Experience with database management software (CRM) a plus.
- High school diploma or equivalent required; some college coursework in Business Administration, Communications, or a related field preferred.
