ESSENTIAL FUNCTIONS & BASIC DUTIES: AP 1. Ensures vendor set-up is complete, and all documentation received before processing payments. 2. Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices and credit card statements for the Company. 3. Reconciles processed work by verifying entries and comparing system reports to balances. 4. Charges expenses to accounts and cost centers by analyzing invoices; recording entries. 5. Reconciles credit card statements by collecting receipts, verifying charge amounts, and entering them into the accounting system. JOB DESCRIPTION 2 Rev. 3/2024 6. Pays vendors by monitoring discount opportunities, scheduling and preparing checks to ensure payments are made to vendors in a timely manner, and resolving purchase order, invoices, or payment discrepancies and documentation. 7. Practice effective scheduling and payment processing to ensure ACH payments are made to vendors in a timely manner 8. Ensures credit is received for outstanding memos. 9. Advises the need for stop-payments or purchase order amendments. 10. Maintains accounting ledgers by verifying and posting account transactions. 11. Verifies vendor accounts by reconciling monthly statements and related transactions. 12. Maintains historical records by filing documents. 13. Ensures sales taxes are calculated and recorded correctly on invoices. 14. Assists to set-up credit accounts with approved vendors 15. Prepares and files vendor 1099’s annually. 16. Protects organization’s value by keeping information confidential. OTHER DUTIES 1. Maintain company vehicle files to ensure all required documents are received. 2. Ensure registration and insurance are up to date. 3. Keep and maintain a driver list with vehicles and ensure drivers have been set-up. 4. Work with the Fleet Manager to ensure vehicles are ready for registration. 5. Provide documentation to the Fleet Manager for any recalls, maintenance records, etc. 6. Maintain vehicle master files. Ensure titles are received and filed. 7. Coordinate annual driver documentation audit. 8. Provide administrative support in order to ensure effective and efficient office operations. 9. Other duties as may be assigned.* KNOWLEDGE, SKILLS AND ABILITY: Ability to demonstrate a thorough understanding of bookkeeping practices and procedures Ability to multitask, set priorities with tasks, and meet deadlines Ability to communicate professionally through written and verbal communication Ability to communicate professionally and effectively with managers, employees, vendors and customers Basic math skills Assists with accounting records and ledgers by reconciling monthly statements and transactions. Confidentiality and respect for the privacy of employee records EDUCATION AND WORK EXPERIENCE: High School Diploma or equivalent At least one (1) year of direct AR/AP experience , in Construction preferred Working knowledge of Microsoft Office-Excel and Word and Sage Contractor accounting JOB DESCRIPTION 3 Rev. 3/2024 PHYSICAL/MENTAL DEMANDS: Physical Demands: The essential functions of the position may require frequent sitting, finger dexterity in non-dominant hand, near/far visual acuity, depth perception, field of vision,repetitive use of both hands and finger dexterity with both hands; accommodation and color vision; occasional walking, standing seldom reaching overhead, bending over, lifting/carrying of up to 25 lbs., and driving a vehicle Mental Demands: The essential functions of the position requires the ability to read and write complex material, perform simple and complex math calculations, and the ability to perform simple and complex tasks; perform clerical functions, compile and analyze information; coordinate activities, supervise and instruct others; follow instructions, influence others, meet time requirements, memorization, problem solving through use of independent judgment and decision making skills
