What are the responsibilities and job description for the Deputy to the Vice President of Human Resources position at Fashion Institute of Technology?
Reporting to the VP, the Deputy to the Vice President (DVP) is the division's chief administrative officer and advisor to the vice president regarding the management, oversight, and direction of the unit's operations. They are an accomplished leader in developing and executing strategic and operational HR goals and are responsible for the administrative operations of the FIT HR unit. They are committed to high-quality, efficient, and effective customer-focused human resources services and support.
Responsibilities & Essential Functions:
- HR Strategy, Administration & Compliance
- Works closely with the VP and HR Leadership Team (HRLT) to develop the HR Strategic Plan, including innovative HR programs, procedures, and employee services, organizational change strategies and/or organizational redesign in support of the FIT Strategic Plan.
- Assists the VP and collaborates with HR and college administrators on complex, sensitive, and confidential workplace issues - including work performance issues, complaints, fitness-for-duty, employee conduct, disciplinary issues, and legal compliance (e.g. employment, ADA, FMLA).
- Leads the expansion of The Center for Professional Development @ FIT for training and development needs for staff and administrators. Chairs Staff Development Committee.
- Develops, implements, and maintains a Strategic HR Communications Plan. Coordinates unit and executive communications, including those requiring a high degree of sensitivity; responds to public inquiries and requests from within the college community.
- Provides senior-level support to the Vice President including management of the HR unit by establishing timelines, monitoring progress, and ensuring that the office is meeting internal and external goals, objectives, reporting requirements, and deadlines.
- Responsible for overall scheduling, planning, and executing HR-related events (HR Open Houses, Training and Development, retreats, etc.) in coordination with the FIT Events Management and HR team members.
- Develops and maintains positive relationships to ensure collaborative problem-solving, goal achievement, and professional representation of the office of the VP; represents the VP on departmental and college-wide committees and in meetings, as needed.

In coordination with the VP, develops HR budget and is the liaison to the Budget Analyst and staff who perform accounts payable transactions.
- HR Operations & Continuous Process Improvement
- Facilitates formal process review, development, and execution of continuous process improvement solutions for the HR team.
- Manages existing Smartsheet forms and workflows for current HR processes (HR Solution Center, non-bargaining performance evaluation, travel requests, HR PTO, etc.) and oversees calendar of reports, communications, deadlines, and key dates for the effective and efficient operation of the HR unit.
- Creates complex and accurate management reports in order to analyze data to track trends and identify areas for improvement and/or training. Partners with HRIS Administrator to maintain and communicate data via HR Dashboard.
- Supervises HR front desk operation personnel responsible for customer service to the college community as well as supporting the HR team with procurement of supplies, technology support requests, facility work orders, room reservations, and other duties as assigned.

Job Requirements:
Minimum Qualifications:
- Bachelor's degree from an accredited college in human resource management, organizational development, business, communications, public administration, labor or industrial relations, or related field.
- 8 years of increasing HR Business Partner/Generalist experience managing a range of HR disciplines. Preferred areas of interest include but are not limited to HR operations and planning, training & development, compliance, and talent.
- Minimum of 18 months in an administrative capacity (reporting to a senior HR manager).
- Experience working with an HRIS and other tools for process efficiency, improvement, and positive user experiences via Smartsheet or other project management software.
- 3 years of experience leading people focused on developing a motivated, collaborative, and inclusive team.
Preferred Qualifications:
- Master's degree preferred.

- Handle stressful and sensitive situations with tact and diplomacy.
- Strong computer skills including Microsoft Office (Intermediate) products; specifically, Word and Excel as and web-based software solutions (Smartsheet and other productivity tools (Expert)).
- Ability to perform research and data collection (Intermediate), evaluate information, and construct clear summaries and reports that communicate findings.

Salary: $144,049 per year
Work Schedule
Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.
